The Our World Campaign Program Specialist will be an integral part of the Our World Campaign and the Donor Engagement Team. The Our World Campaign is a One Conservancy campaign of unprecedented scale to support a new vision for the planet where people and nature thrive together. The Donor Engagement Team supports the Our World Campaign and engaging donors across the Conservancy with our mission.
The Our World Campaign Program Specialist will serve as lead administrative support to the Our World Campaign Director and support the Donor Engagement Team. This role is offers an opportunity for someone with administrative abilities and a desire to increase project management and coordination skills. The role is balanced with administrative and project coordination responsibilities:
Administration
- High level administrative tasks to include travel arrangements and meeting logistics, scheduling, reporting and tracking.
- Frequent interaction with members within the organization; customers, vendors and partners.
- Responsibilities require discretion, judgment, tact and poise.
- Duties may be highly confidential and require comprehensive knowledge of TNC’s policies, procedures and operations.
- Ability to adapt and respond to the demands of a fast-paced executive calendar and workload.
- Willingness to make interpretations and recommendations as appropriate.
Coordination
- Support the Donor Engagement team meet strategic priorities by completing and organizing tasks and activities.
- Coordinate Donor Engagement team activities; set agenda and run team calls.
- Implement processes and practices to improve team efficiency and effectiveness based on in-depth understanding of policies and procedures, e.g. BBCRM data entry, tracking contracts, and payments related to trips and other team costs.
- Align and collate necessary details and data to be consistent with BBCRM (designated lead, structure, etc.).
- Assist with management of team needs and Highly Effective Teams deliverables.
- Maintain advanced skills with the systems and resources utilized by the team to execute tasks.
- Assist the team to make decisions, solve problems, and improve workflow.
RESPONSIBILITIES AND SCOPE
- Act independently on assigned tasks and exercise independent judgment based on analysis and experience.
- Coordinate projects with several variables, work within a defined timeline and budget
- Does not supervise any staff, but may supervise interns, volunteers, and/or temporary staff.
- Ensure compliance with TNC policies and procedures, and external (donor/legal/IRS) requirements.
- Financial responsibility includes working within a budget, processing invoices and transfers, and contracting with vendors.
- Provide input through project teams for the improvement of existing programs.
- Refer difficult questions and unusual problems to supervisor.
- Travel and work flexible hours.
- Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
- Work is diversified and may not always fall under established practices and guidelines.
- Work within scope of program’s strategic goals.
MINIMUM QUALIFICATIONS
- Experience building relationships with staff, customers or similar.
- Experience generating reports and interpreting data.
- Experience in business writing, editing, and proofreading.
- Experience working across teams.
- Experience, coursework, or other training in principles and practices of organizational management.
PREFERRED KNOWLEDGE, SKILLS & EXPERIENCE
- Multi-lingual; multi-cultural, cross cultural experience or background an asset.
- Ability to analyze information for the purposes of coordinating efforts and solving problems.
- Demonstrated success writing and editing written materials for use with donors and special events.
- Database skills, including managing data and tracking donor prospects.
- Strong organizational skills and attention to detail.
