The Learning Administrator (Programs & LMS) manages the delivery of learning programs and curricula for the Learning & Development team and performs regular maintenance of SumTotal LMS (AARP’s Learning Management System). This role provides program, project, and systems management, oversees the delivery of learning programs and curricula, and maintains existing training documents and processes.  This role also performs regular/daily system configuration and maintenance for the LMS, including course and class setup, learner registration and attendance, and basic reporting and testing.  This position reports to the Director of Learning & Development.

Areas of Responsibility: 
  • Perform regular/daily maintenance of LMS:
    • Setup and maintain curricula, courses, classes, and other learning activities
    • Manage class rosters and update attendance
    • Assist users with registration and use of the LMS, and troubleshoot user issues
    • Run regular/common reports
    • Test LMS scenarios
  • Troubleshoot and solve complex issues related to LMS, registration, and/or customer expectations.
  • Ensure timely and accurate reporting of attendance data, and notify employees who fail to meet course attendance requirements.
  • Identify e-learning objects within LMS that satisfy established learning objectives and client requests.
  • Identify and convey audience needs and contextual information to facilitators, vendors, and other partners to ensure that requirements and issues related to organizational culture, learner/participant, and facilities/technology are fully understood and addressed. 
  • Discuss and identify learner needs, contextual background, and performance outcomes with L&D clients to define and document operational requirements for learning programs and curricula.
  • Represent the Learning & Talent Development organization to L&D clients, learners/participants, facilitators, and other stakeholders during classroom events.
  • Manage end-to-end implementation of Learning and Development programs and curricula:
    • Secure venue for learning events (virtual and on-site).
    • Manage classroom logistics: room set up, technology (including participant/facilitator equipment and virtual classroom setup), and all facilitator and participant needs.
    • Manage end-to-end course delivery, including venue identification, internal/external facilitator coordination, participant enrollment/registration, participant and facilitator communication, participant and facilitator follow-up, and level 1 course evaluation.
    • Manage tailored enrollment processes for invitation-only Leadership Development programs (send invitations to managers and their supervisors, confirm/enroll participants, administer level 1 and level 3 evaluations).
    • Work with outside facilitators/vendors to coordinate availability and course logistics.
    • Handle daily communications with vendors and process vendor invoices.
    • Serve as point-of-contact for questions regarding upcoming learning events. Receive and respond to requests for information.
    • Track learning activities, ensure audit trail and learning history is complete and up-to-date.
    • Coordinate the printing, shipping, and fulfillment of all training related materials.
    • Order supplies for training and L&D department as needed.
  • Serve as primary owner of shared L&D mailboxes (Leadershipdev, Learning Tech, etc.), responding to or forwarding items for resolution.
  • Plan and administer the general offering/open enrollment catalogue and session calendar.
  • Research training suppliers and materials as needed – including details, cost comparison, and timelines.
  • Produce periodic L&D reports accompanied by learning program administration recommendations and implications, such as training compliance, LMS usage, and program costs.
  • Challenge administrative processes as appropriate in order to implement more effective ways of working.
  • As needed, assist facilitator in the classroom - including - observing delivery and maintaining notes, documenting issues raised, or moderating classroom activities.
  • Assist developers to create performance support activities, tools and resources to reinforce and sustain learning sessions
  • Must maintain a flexible work schedule to accommodate client, facilitator, and participant needs.
Educational Background: 
Bachelor’s degree in Human Resource Management, Education, Adult Learning, Communications, or related field required.
Skills/Experience: 
  • 3+years Learning Programs/LMS Administration, including course and class creation, individual and batch enrollment, attendance/transcript updates, course/content assignments, and reporting -- SumTotal experience preferred.
  • Experience with SCORM preferred.
  • Must be on-site during all required times in order to set-up and trouble shoot all learning events.
  • Must have ability to facilitate learning sessions on an on-needed basses, and to open and close class sessions.
  • Experience designing and development instructor-led training, virtual live training, and social learning experiences.
