The Grants Coordinator will support the VP of Grants in the day to day operation of our international grantmaking program. The Grants Coordinator is responsible for maintaining databases and procedures supporting the suite of National Geographic Grant Programs and large scale projects and initiatives. This position will work closely with the Grants team and the Science & Exploration Operations team to provide support across the grants process, including: management of reviewers, meeting logistics, docket preparation, updating and maintaining databases, travel planning, and triaging and responding to programmatic and technical inquiries from applicants. The coordinator also schedules internal meetings, supports external events, plans domestic and international travel, develops presentation materials, conducts background research, assists with reporting requirements, and performs other activities at the direction of the VP. The Grants Coordinator recognizes how well designed systems, rigorous attention to detail, and clear communication enhance the Society’s grant making and project management operations.

Areas of Responsibility: 
  • ADMINISTRATIVE SUPPORT: Assist in preparation of presentations, contracts, and other documents. Maintain program calendars and assist with meeting scheduling and logistics. Provide ongoing general administrative and travel/logistical support, including processing payments. Liaise with internal divisions and external partners as needed. (30%)
  • GRANTMAKING SUPPORT:  Review grant applications for eligibility and completeness; correspond with applicants to collect required documents.  Support Grants staff in preparing materials and other needs for grant meetings including: logistics, space, and catering reservations, preparation of meeting docket and special presentations. Respond to applicant and grantee questions regarding technical and programmatic issues; applications submission requirements; and review process. (30%)
  • SUPPORT FOR EXECUTIVE & REVIEW COMMITTEES: Serve as the main point of contact for the Committee for Research & Exploration and manage communications and logistics including: oversee travel arrangements; manage paperwork and compliance requirements; create expense reports; handle meeting logistics including space and catering; coordinate creation and distribution of documents for application reviews. Work closely with Legal, Finance, and Programs teams to ensure streamlined approach to Committee requirements and deliverables. (20%)
  • DATABASE MAINTENANCE:  Maintain the integrity of the project management tools and database by ensuring data entry is complete and accurate; develop proficiency working with grants and project management tools, endeavor to improve and update the accuracy and utility of software. (10%)
  • OTHER: As directed, conduct research on a variety of topics to support the program, including subject areas, experts, organizations, and scientific topics. Assist with other tasks as required. (10%)
Educational Background: 
Bachelor’s degree with an educational focus related to the natural environment preferred.
Skills/Experience: 
  • 2+ years of professional experience in providing administrative and project support. 
  • Excellent oral and written communication skills. 
  • Excellent attention to detail.
  • Must be a self-driven, creative, highly organized, and motivated individual; strong team player; effectively prioritizes tasks and meets deadlines.
  • Must be comfortable with ambiguity and have the ability, flexibility, and proactive demeanor to work through issues and solve problems in a changing environment.
  • Strong computer skills across suite of programs including Microsoft Word, Excel, Keynote/PowerPoint, G Suite, and databases.  Familiarity with Salesforce or comparable grants management systems is a plus.
  • Experience conducting online, library, and/or archival research.
  • Understanding of and commitment to the program areas and mission of the National Geographic Society.
