Based in Washington, DC, the Associate role serves two primary functions – working with the Vice President for Girls and Women’s Strategy on the integration and general function of the Foundation’s girls and women work (50%); and working with the Global Health team and Vice President for Global Health Strategy on the general function of the global health team (50%).
Program & Operational Support, Girls and Women (40%)
- Provide research and writing and editing support, including preparing, finalizing, and distributing internal and external correspondence (talking points, briefing notes, programmatic one-pagers, blogs, web site copy, presentation decks).
- Create and maintain calendars for relevant events, such as during the annual Commission on the Status of Women and during the UN General Assembly.
- Occasionally help with scheduling and meeting planning, and routinely help manage bi-weekly Girls and Women’s meetings, including agendas and notes.
- Assist in vetting and replying to invitations, speaking requests, and participation in program related activities.
- Input contacts to Salesforce and update information as necessary.
- Assist with developing and monitoring Girls and Women’s budget.
- Work with the finance team occasionally to process contracts, bills, grants or invoices.
- Hire and manage interns.
- Coordinate as needed with other Foundation teams, including Public Affairs and Integrated Development.
- Other duties as assigned.
Program & Operational Support, Global Health (60%)
- Provide administrative support to the Vice President for Global Health Strategy and Senior Fellow for Global Health Diplomacy, including:
- Organize internal and external meetings
- Prepare monthly American Express and other expense reports
- Travel logistics
- Modest calendar management
- Provide research and writing support to Global Health team, including briefing papers, executive summaries, analyses, and presentations.
- Prepare, finalize, and distribute internal and external correspondence including talking points, briefing notes for leadership team, and biweekly foundation updates.
- Work with Finance and Business Services, Budget and Reporting departments to process contracts and payments.
- Assist team with regular updates of contact information into Salesforce.
- Create and maintain Global Health calendar. Develop agendas for internal team meetings.
- Work with the team to administer some elements of Global Health grant portfolio (approximately 5 grants/year), including:
- Manage contracts, reporting, and stewardship;
- Keep all grant records up to date;
- Communicate to grant beneficiaries their deadlines for reports, evaluations, extensions, and closing of grants.
- Work with the Director of Special Events to organize external meetings and events.
- Perform other duties as assigned.
- At least two years of work experience required, with track record of success.
- Passion, knowledge or work experience in gender, global health and development issues.
- Administrative experience required.
- Familiarity with the United Nations desired.
- Excellent oral and written communication skills required, including the ability to analyze and translate or distill complex scientific and policy issues into memos, reports, or blog posts.
- Demonstrated ability to establish and maintain effective working relationships with diverse partners; ability to operate collaboratively and communicating clearly, often under time pressure, and with discretion, tact, diplomacy, cultural sensitivity and empathy.
- Ability to take initiative; the ideal candidate will be a self-starter who is comfortable carrying out multiple tasks on different projects and assignments, is dependable and consistent, enjoys being part of a team and anticipates team needs.
- Strong research skills.
- Ability to organize and classify materials (electronic and hard copy) effectively.
- Previous experience with contracts preferred.
- Some experience with event logistics preferred.
- Advanced experience in Word, Excel, PowerPoint, and Outlook.
- Ability to meet regular attendance/tardiness policy.
- Ability to work under pressure and handle stress.
