Areas of Responsibility:
Campaign Coordination (40%)
- Coordinate local and national event logistics with Shot@Life team members, venues, vendors, and partners.
- Travel to campaign events to support set-up and run-of-show.
- Maintain the campaign’s inventory of materials.
- Track use of all materials distributed for campaign events.
- Order and design new materials through vendors as needed.
- Work with Champions and partners to distribute requested materials.
- Support grassroots advocacy efforts to increase organic growth and strengthen constituency engagement.
- Conduct research for internal and external communications.
Administrative Support (35%)
- Provide administrative support to assigned members of the Shot@Life team.
- Handle scheduling, draft correspondence, and complete other tasks as needed.
- Coordinate travel arrangements and logistics.
- Process expense reports for supported staff.
- Organize meetings and conference calls, taking minutes as needed.
- Prepare, finalize, and distribute internal and external correspondence as directed.
- Manage electronic and paper files.
- Assist with briefing notes, memos, and board book preparations as directed.
Budget and Contract Management (25%)
- Assist Shot@Life’s Executive Director and Sr. Partnerships Associate in managing the budget, contract, grant, and fiduciary portfolio for the team.
- Work with Business Services/Budget Department to draft approval forms, agreements, and amendments.
- Track scheduled payment disbursements and project deliverables.
- Work with Finance and Business Services/Budget Departments to process bills and invoices and execute contracts. Monitor disbursements and troubleshoot as needed.
- Other activities required to effectively manage grants and contracts.
- Oversee the campaign’s budget, track expenses, and process outgoing payments in a timely manner.
- Support the Sr. Partnerships Associate to track individual fundraising numbers and prepare fundraising components of quarterly and annual reports; draft donor communications, including thank you letters; perform prospect research as directed.
- Perform other duties as assigned.
Educational Background:
Bachelor’s degree required.
Skills/Experience:
- Advanced knowledge of and experience with MS Office Suite (Word, Excel, Outlook, PowerPoint).
- Previous experience developing written materials (analyses, reports, talking points, etc.) for senior leaders and external audiences. Strong communications, research, and professional writing skills.
- Database management skills preferable, especially of GIFTS and Raiser’s Edge database programs.
- Familiarity with global health, international development, and/or the United Nations desired.
- Previous grant and contractual experience preferred.
- Personal commitment to UNF’s vision and the ability to articulate it to others in a manner that compels them to action.
- Ability to multi-task and juggle many projects at once is a must.
- Ability to develop, maintain, and enjoy effective working relationships with people from a wide variety of organizations and with a wide variety of functional expertise.
