The Contracts Team is seeking a team member who can support and contribute to the development of the Contracts team in a time of transition.  The Associate, Business Services and Contracts, is responsible for the review and technical support of many of the day to day contracts and agreements for a portfolio of UNF campaigns and initiatives. Additionally, the Associate serves as a main point of contact regarding all contracting systems and processes, works closely with the rest of the Contracts team on other projects and needs of the team, and provides support to the Sr. Director, Business Services and Contracts, as needed.

Areas of Responsibility: 
  • Be an initial reviewer and/or author of contracts and agreements and answer common questions posed by program teams; use judgement to advance agreements with non-standard terms, questions or requests for additional review and/or approval from the Sr. Director.
  • Maintain an understanding of UNF policies and serve as the initial point-of-contact to other departments concerning contracting and granting policies and procedures; use judgement to advance questions and issues to the Sr. Director.
  • Maintain a strong knowledge of Salesforce practices and functions accurately processing and tracking all UNF agreements in the Salesforce system and provide support to other departments as needed.
  • Manage DocuSign, ensuring approved agreements are sent for signature in a timely manner, and troubleshooting issues related to DocuSign as they arise.  
  • Conduct daily due diligence on donors, vendors, grantees and other UNF partners in line with UNF policies.

Other Functions

  • Advise program teams on how best to develop agreements and grants.
  • Assist in developing and maintaining contract training and reference documents, such as presentations, 1-pager policies and general procedures documents. 
  • Occasionally draft agreements for various projects, events and programs as needed.
  • Assist in drafting templates as needed.
  • Plan and execute regular meetings among UNF’s “Contracts Group” and gathering feedback.
  • Provide fiduciary support, liaising with UN Agency staff around reporting and drafting of agreements.
  • Liaise with other Finance Department staff on various overlapping duties, such as drafting invoices, grant payments, UNFIP grant paperwork and in some cases, PRFs, and supporting the annual audit.
  • Provide compliance support, as well as identifying compliance issues related to public and private sector funding, notifying Sr. Director of potential risks.
  • Other duties as assigned.
Educational Background: 
College degree in a relevant field required with 1-3 years of applicable work experience.
Skills/Experience: 
  • Back of the house experience required; nonprofit experience is strongly preferred.
  • Excellent verbal and written communication skills required.
  • Proficiency in Microsoft Office Suite to include Word, Excel, Access, and PowerPoint.  Salesforce experience is a strong plus.
  • Attention to detail and strong organizational skills.
  • Ability to work independently as well as cooperatively and collaboratively on a tight knit team within the larger Finance team.
  • Flexibility and the willingness and ability to respond to a rapidly changing environment.
  • Ability to efficiently multitask and prioritize an active portfolio or competing priorities.
  • Ability to maintain consistency in work and responses, but also the sense to know when exceptions are necessary.
  • Friendly and able to maintain a positive attitude with a good sense of humor.
  • Ability to meet regular attendance/tardiness policy.
  • Ability to work under pressure and handle stress.
  • Ability to maintain confidentiality when needed.
