Assistant, Administrative

Provide administrative support for Legal and Business Affairs, performing a variety of both complex and routine administrative duties.

Areas of Responsibility: 
  • Handle mailing, fax, courier, copying, scanning, sorting and similar administrative tasks.  Distribute mail.  Handle maintenance requests.  Set up video conferences, coordinating with the IT dept when necessary.  Order supplies.  Maintain and organize files.  (25%)
  • Obtain Apostilles and other administrative documentation as requested.  Support attorneys with scheduling meetings and conference calls, making travel arrangements, and preparing business expense reports.  Support the General Counsel’s office if the executive assistant is out. Other support activities as reasonably requested. (15%)
  • Interface with people throughout the organization to gather, compile and organize information for various projects. Act as point of contact who forwards executed agreements and other documentation to Records Library. Act as back up for ingestion of records and retrieval thereof from Records Library. (25%)
  • Assist with legal research for rights clearance tasks, including database search for relevant records, and retrieval and return of legal binders from NGP.  Provide assistance with payment questions when a Society group does not have a project coordinator to facilitate payments.   (15%)
  • Prepare drafts of simple contracts using approved contract forms.  (20%)
Educational Background: 
AA degree preferred or equivalent experience.
Skills/Experience: 
  • 2+ years of work doing administrative support in a law office, legal department, or other business supporting at least 2 people.

Knowledge and Skills Required 

  • Advanced skills in Microsoft Word, Excel, PowerPoint, Google Docs and database applications.
  • Knowledge of legal terminology and formats, strong typing and administrative skills preferred.   
  • Excellent oral and written communication and organization skills a must. 
  • Telephone presence and the ability to work well with others.
  • Qualified notary public a plus.
