The Wounded Warrior Project (WWP) Administrative Assistant–Government & Community Relations (GCR) provides executive-level administrative support to GCR leadership and staff, including performing administrative tasks, managing schedules, planning and coordinating meetings and events, coordinating travel arrangements, and assisting with special projects.

Areas of Responsibility: 
  • Provide administrative support to the Government & Community Relations leadership and staff.
  • Organize and maintain advocacy resources for the Legislative Affairs team and the Community Partnerships & Investments team, e.g., managing calendars, documents and files, assisting with project tracking, and supporting the work with partner organizations.
  • Support the Community Partnerships and Investments team by tracking and analyzing grantees and partnerships, preparing mid-year reports, and providing administrative support to assist in accomplishing the strategic investment and partnership strategy.
  • Plan and schedule meetings, appointments, conferences, and teleconferences on behalf of the GCR team. Ensure details are communicated properly to participants, and logistics are effectively planned and accomplished.
  • Serve as first point of contact to guests and visitors, personally or via telephone, welcoming them, answering inquiries, and escorting or directing them to appropriate staff members.
  • Coordinate and oversee special events, e.g., round-table discussions, networking events, luncheons. Attend events and meetings as needed.
  • Collect and analyze data to assist the GCR team in their decision-making and in reporting to leadership the activities and results, for both the Legislative Affairs team and the Community Partnerships & Investments team.
  • Perform basic office duties including answering the telephone, and directing calls, managing correspondence, and organizing, filing, and maintaining documents and records, exercising discretion and confidentiality.
  • Assist with travel planning and arrangements.
  • Coordinate payment of invoices. Maintain budget-related documentation. Compile business expenses and reimbursements and maintain within Concur system.
  • Maintain organization of the executive offices and ensure a professional environment.
  • Support GCR staff by assisting with special projects.
  • Other related duties as assigned.
Educational Background: 
Bachelor’s degree. Equivalent combination of applicable education, training, certification, and experience may be considered in lieu of degree.
Skills/Experience: 
  • Demonstrated ability to manage administrative activities for senior level management and staff.
  • Effective organizational and time management skills. Demonstrated ability to effectively manage multiple tasks, assignments, and priorities, and within deadlines.
  • Well-developed interpersonal skills to interact effectively with diverse individuals.
  • Demonstrated ability to manage sensitive matters with diplomacy, empathy, and confidentiality, and build effective working relationships.
  • Demonstrated ability to work effectively in a collaborative team environment.
  • High energy level. Self-starter; willing to take initiative.
  • Demonstrated computer proficiency using Microsoft Office, e.g., Word, Excel, Outlook, PowerPoint.
  • Strong written and verbal communication skills.
  • Demonstrated ability to maintain confidentiality.
  • Ability to travel and work overtime, including weekends as needed.

Education & Experience Requirements

  • Four years of experience providing administrative assistance or staff support.
  • Four years of experience using Microsoft Office, e.g., Word, Excel, PowerPoint, Outlook.

Preferences

  • Bachelor’s degree.
  • Four years of experience providing senior management administrative support.
  • Two years of administrative experience with a non-profit organization.
  • One year of experience with Salesforce or customer relations management (CRM) software.
