The Senior Associate, Business Services is responsible for providing exemplary customer service to all stakeholders, acting as the focal point for documents and requests coming in to the Business Services, Budgets and Reporting (BSBR) Department of the Foundation. This includes assessing information for completeness and accuracy, maintaining document tracking logs, electronic databases and files, and routing and sharing information with colleagues. In addition, it requires drafting all contracts and grants for partnerships administered by BSBR and addressing partner questions and concerns. Further, this position is responsible acting as the liaison for BSBR and the manager of the partner vetting process.

Areas of Responsibility: 
  • Manage the tracking of all external fiduciaries in support of the UN Foundation and its initiatives, including tracking of donations and providing quarterly reporting, improving existing relations, maintaining regular communication and facilitating grant payouts.
  • Manage UNF partnerships administered by BSBR. Draft all contracts and agreements for said partnerships, ensure that all documents and funds are tracked, process all payments for contractors, and address all partner concerns and expectations.
  • Act as the principle liaison between BSBR and external partners.
  • Manage the Partner Vetting process with support from the due diligence team, in coordination with the Executive Director, BSBR and the Executive Office.
  • Help maintain electronic database and e-filing system of all contracts, invoices, agreements, and reports. Routes copies to all pertinent staff.
  • Provide administrative support for the Executive Director, BSBR, including: scheduling, providing preparations for meetings, making travel arrangements, preparing travel and expense reports, preparing correspondence, maintaining files, managing incoming and outgoing mail, and maintaining Outlook calendars.
  • Ensure excellent customer service by providing timely and accurate information to stakeholders as needed.
  • Support the annual audit, as needed.
  • Support the Senior Budget Analyst in preparing the biannual Board Book, as needed.
  • Ensure that documentation, training, and support is available as necessary for stakeholders to understand Department procedures. Develop department policies and procedures for approval by the Executive Director, BSBR.
  • Serve as BSBR’s liaison to other departments concerning policies and procedures and addressing issues and queries.
  • Employ Salesforce, Financial Edge, Raisers’ Edge and GIFTS for windows to extract information and prepare reports, and additional support as needed.
  • Maintain appropriate working paper and file documentation for all work products.
  • Prepare and maintain up-to-date, written, fully explanatory desk procedures for all task responsibilities
  • Track the organization’s revenue to be presented on a monthly basis.
  • Track and monitor incoming funds. Ensure that all incoming funds are properly allocated in coordination with the Budgets Team. Allocate funds when necessary.
  • Track and monitor the currency exchange rates of major foreign donors in order to improve predictions on incoming funds.
  • Other duties as assigned.
Skills/Experience: 
  • College degree required.
  • Three to five years working experience in the non-profit sector or related environment.
  • Administrator experience in Salesforce, Raiser’s Edge or similar database systems.
  • Two to three years’ experience in progressively responsible position acting as primary administrative support to executive level.
  • High degree of professionalism and customer service skills required.
  • Self-starter.
  • Ability to work well under pressure to ensure that deadlines are met and work assignments completed in a calm, confident and capable manner.
  • Demonstrated ability to be organized and prioritize multiple, competing priorities.
  • Proficiency in Microsoft Office Suite to include Word, Excel, Outlook and PowerPoint.
  • Excellent writing and editing skills required.
  • Ability to work independently as well as member of a team.
  • Ability to take initiative.
  • Detail-oriented and strong time management skills.
  • Dependable and consistent.
  • Ability to meet regular attendance/tardiness policy.
  • Ability to work under pressure and handle stress.
