Executive Assistant for the Office of the President

The Executive Assistant will provide administrative support to the President and CEO and to the Director of HR and Administration, who is also part of the Office of the President. Duties involve scheduling meetings, making travel arrangements, taking minutes, managing the office, and support with accounting, HR and benefits administration.

Areas of Responsibility: 
  • Provide day-to-day support to the President and CEO
  • Assist and support the Director of HR & Administration
  • Support and contribute to the efficient operations of the executive office
  • Be the gatekeeper and facilitator of liaisons with the President
  • Maintain the President’s calendar
  • Manage travel arrangements
  • Register and prepare logistics for the President & CEO’s attendance at conferences
  • Prepare expense reports and reimbursements
  • Assist with the facility management and maintenance of office equipment  
  • Assist with benefits, human resources, and administration

Essential Functions include:

  • Be the maestro of the President’s calendar, scheduling, prioritizing of appointments, meetings and making travel arrangements.
  • Assist with planning and scheduling speaking engagements and media interviews in collaboration with the program and communications teams.Assure adequate follow-up to requests made to the President’s office
  • Support preparation for and assist with board and committee meetings
  • Provide administrative support to the Director of HR and Administration   
  • Assist with all accounting projects and tasks
  • Plan and prepare for staff meetings and other staff activities
  • Organize and maintain paper and electronic files
  • Collaborate with members of the organization’s teams, as necessary
Educational Background: 
Bachelor’s degree or comparable work experience t
Skills/Experience: 
  • Sharp and on point computer skills, with the ability to rock Microsoft Office, Excel, and PowerPoint
  • Strong database skills and knowledgeable and facile with SalesForce and HRIS
  • Comfortable being articulate, with good interpersonal skills and a pleasant demeanor that will enhance our culture and heighten the office vibe
  • High level of professionalism with the ability to maintain sensitive and confidential information
  • Past experience in the non-profit sector is a big plus
  • Have a flexible work style and can handle working under tight deadlines with sometimes shifting priorities
  • Understands and has passion for advancing social and economic justice
  • Minimum of three years’ experience working with executives to provide administrative support in a fast-paced environment
Compensation/Benefits: 

Competitive Salary:  Commensurate with experience within the range of $50,000 to $65,000 per year.
