Summary Statement
Performs highly responsible administrative work to support the Center to Champion Nursing in America. Supports CCNA Chief Strategist / Senior Vice President, Public Policy Institute, with special projects as assigned.
Responsibilities
- Manages travel and calendaring for staff as required.
- Prepares and submits expense reports and reimbursement requests for staff as required.
- Prepares agenda and notes for weekly staff meetings and other meetings as assigned.
- Organizes meetings as assigned, including calendaring, room reservations, catering, sending meeting materials to participants, room set up, name tags, etc.
- Assists with external meetings as needed, including
- Coordinate services needed for events including, but not limited to: food; lodging; audio-visual equipment; space set-up
- Ship equipment and supplies required for the events in advance. Ensure materials are received, maintained properly on site, and returned after event.
- Prepare meeting materials, packets, name badges, tent cards, etc.
- Assists business operations with procurement as needed
- Processes invoices for payment
- Manages files and record keeping for department
- Keeps team calendar up to date and notes when CCNA staff is in/out of office.
- Assists with finalizing documents, spreadsheets, correspondence and presentations, as needed
- Monitors daily office activities; organizes all incoming materials and refers to appropriate staff. Handles appropriate matters independently and keeps team members apprised of actions.
- Uses a personal computer to complete assignments, including documents, correspondence, presentations, and spreadsheet development; electronic mail transmittals; calendar updates; Internet/Intranet research.
- Uses software packages specific to department requirements.
- Maintains office supplies, manages inventory and orders supplies.
- Maintains staff lists, emergency contact lists, and assignment of assets.
- Serves as resource to staff concerning office procedures and standard business practices.
- Performs other duties as assigned.
Requirements
- Completion of High School, GED and/or Vocational training, and 3 or more years of experience or equivalent training and experience to include progressively responsible administrative and coordination experience working to support a director and/or an executive office environment.
- A working knowledge of administrative practices including coordination, planning, and office management is required as well as good organizational skills and accuracy when working with details.
- Skilled in using the personal computer and contemporary software packages, including Microsoft Outlook, Word, Excel, PowerPoint and SharePoint.
