The Energy and Climate team at the United Nations Foundation works with the UN and our partners to fight climate change and promote sustainable energy globally. The Administrative Assistant, Energy and Climate supports the Energy and Climate team to develop, coordinate, and execute contracts and grants, manage events, and provide other administrative support to the team.

Areas of Responsibility: 

Contracts, Grants, Payments, and Reporting (50%):

  • Draft, ensure execution of, and track contracts, grants, and agreements, working with the Energy/Climate and Business Services, Budgets, and Reporting teams.
  • Investigate, negotiate, and resolve issues associated with contracts, agreements, and grants.
  • Initiate and track extensions and close-outs of contracts and grants.
  • Manage the drafting and coordination of financial and narrative reports for grants funded by partners.
  • Process and oversee payments.

Events (40%):

  • Plan and organize team events, domestically and internationally, including onsite execution, and closeout. Work closely with internal leads from other teams (including New York Office, Public Affairs, Business Services, Budgets, and Reporting, and Finance).
  • Work with various vendors to fulfill catering, venue, photography, travel, and audio/visual needs for each event. Develop and maintain relationships with vendors to ensure that best rates and quality are negotiated for each event.

Administrative Support (10%):

  • Additional administrative support duties as assigned.
Educational Background: 
Bachelor’s degree in relevant field.
Skills/Experience: 
  • 1-3 years of professional experience, preferably in project management, event management, or contract/grant management role(s).
  • Strong organizational and writing skills.
  • Approximately 20% overnight travel domestically and internationally may be required.
  • Knowledge of and experience with MS Office Suite (Word, Excel, Outlook, PowerPoint, Access).
  • Experience in international affairs and development and/or knowledge of the international nonprofit sector is desirable.
  • Interest, knowledge, or experience in climate and energy issues.
  • Strong attention to detail and demonstrated excellence working in a fast-paced environment.
  • Strong professional interpersonal skills and diplomacy.
  • Ability to work independently as well as member of a team.
  • Ability to meet regular attendance/tardiness policy.
  • Ability to work under pressure and handle stress.
