The Legal Affairs, Risk & Compliance (LARC) team is looking for an exceptionally organized and motivated assistant to support senior leaders on the team and provide strategic support to the team. Rooted in a deep belief in our mission, core values and the belief that operations support is critical to the success of our mission, you will provide administrative support for the Senior Vice Presidents and VPs that report to her, creating schedules that allow them to maximize their time and seize opportunities.  You will partner with the team’s Chief of Staff to correspond with a wide range of internal and external constituents, schedule complex and dynamic meetings, book and coordinate travel logistics, track the team budget and manage expenses, execute key portfolio culture priorities, and support occasional research and special projects as needed. You are someone who can do this work successfully by adapting in a frequently changing environment, and by learning from both accomplishments and less-successful experiences through reflection and proactively seeking feedback. This role is for you if you enjoy working with a variety of people, finding and creating solutions, learning new things, and display strengths in organization, planning, and executing, as well as verbal and written communications.

Areas of Responsibility: 

Scheduling & Logistics Support (75%)

  • Manage calendars for the SVP and support the VPs as needed.  This will include:
    • Scheduling meetings
    • Proactively identifying concerns and conflicts
    • Arranging complex travel with great attention to detail
    • Partnering with the Chief of Staff to manage competing priorities
  • Employ top-notch communication, especially to proactively engage those they support around issues (such as through weekly wrap-up emails, weekly check-ins, and other touch points throughout the week)
  • Coordinate engagements with other senior-level partners within and outside of Teach For America
  • Schedule all national board committee meetings and work with the Board Management Team within LARC

Office Operations (25%)

  • Partner with the Chief of Staff to build strong team culture by managing the portfolio’s YOS, birthday, and gift tracker and by designing and executing various celebratory and culture-building events
  • Plan and execute logistics for various events as needed including LARC portfolio retreats, team retreats and other team and portfolio engagements
  • Serve as the budget tracker for LARC including:
    • Lead the quarterly budget forecasting process
    • Work with the Chief of Staff to maintain a balanced team budget
    • Approve expense reports on behalf of the SVP as needed
    • Process monthly American Express expense reports for members of the LARC management team
Educational Background: 
Bachelor’s degree or high school diploma with experience required
Skills/Experience: 
  • 2-4 years of professional experience
  • Strong customer service ethic
  • Excellent organization, detail orientation, and project management skills
  • Ability to build internal and external relationships and networks in order to achieve results
  • Ability to work independently and effectively in a fast-paced, deadline-driven environment, and to juggle several projects at once with a spirit of flexibility and a positive outlook
  • Strong critical thinking, written, and interpersonal communication skills
  • Good judgment, strong initiative, and a quick learner
  • Familiarity with managing confidential information and ability to exercise discretion

  • Strong tech skills, including knowledge of Microsoft Office Suite, particularly Microsoft Outlook and Excel, and Google docs
