The Associate, Talent & Operations will provide best in class operations and administrative support for the region, with a focus on office, administrative, and talent operations. You will oversee the day-to-day operations of our office and ensure our team has the resources, support, and communication they need to maximize their impact. In addition, you will support our region’s talent work, including hiring and onboarding logistics and staff culture and community building. You will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, customer service, organizational skills, and the ability to maintain a realistic balance among multiple priorities. You will have the ability to work on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. The Associate, Talent & Operations will report directly to the Director, Talent & Operations.

Areas of Responsibility: 

Office Operations (40%)

  • Manage excellent office operations  and implement systems (e.g., daily walk-throughs) that help all staff, corps, and alumni be their best for each other and build a sense of community
  • Provide logistical and operational support for the Greater Tulsa office, including assisting in scheduling meetings and related logistics (e.g., room booking, set up, technology), ordering & inventorying supplies, and administrative support (e.g., mail, office maintenance)
  • Build and manage relationships with staff members and facilities partners to foster strong internal operations and a welcoming, inclusive, & productive environment at the Greater Tulsa office
  • Partner with national team partners and vendors for centralized services (e.g., tech support, copiers, shipping, supply purchases)

Administrative Operations & Communication (30%)

  • Process American Express expense reports and monthly reimbursements for senior leadership
  • Provide support for travel booking & logistics to the Greater Tulsa team
  • Support the Executive Director with scheduling and one-off tasks as needed
  • Support all regional board logistics, including agendas, communication, minutes, & follow up
  • Manage staff communication systems for region (e.g., texting system, email system, Slack)

Talent Operations (20%)

  • Support excellent staff hiring, onboarding, & transitioning systems that help the Greater Tulsa region build relationships through the hiring process and provide an equitable, welcoming experience to all candidates
  • Provide operational support for staff development, staff retreat, and team meetings (e.g., space, set up, technology, food)
  • Create and execute on project plans aligned to Greater Tulsa’s vision for staff culture, including, but not limited to, staff rituals and celebrations (e.g., staff appreciation and milestone recognition)
  • Plan and execute, in partnership with others, community building strategies & events  

Collective Responsibilities (10%)

  • Drive discrete projects to support the Greater Tulsa region in reaching ambitious goals
  • Participate as a member of the regional internal operations team
  • Participate in all staff regional commitments (e.g., selection, matriculation, all corps events, and team meetings).
Educational Background: 
Bachelor’s Degree required
Skills/Experience: 
  • At least two years of work experience preferred
  • Operations or administrative experience is highly preferred
  • Proven ability, via work history, to build and execute a project plan and organize, prioritize, track and manage workflow from multiple streams
  • Strong customer service orientation with excitement to support others in their work
  • Exceptional organizational skills and attention to detail
  • Ability to manage systems and processes to ensure efficient operations and 100% follow through across multiple workstreams
  • Strong interpersonal skills and the ability to build relationships with TFA stakeholders, including staff, board members, CMs/alumni, external partners and donors
  • Demonstrated optimistic approach and flexibility; approaches work with a spirit of “yes”; pushes work forward through obstacles; adapts quickly as things change
  • Strong communication skills (particularly written)
  • Proven ability to handle confidential information with discretion

Work Demands:

  • Ability to travel to in-person meetings in various U.S. cities [1-2 times/year].
  • Ability to travel independently to multiple locations for work throughout Tulsa & Muskogee and store/bring items to those locations.
  • Ability to lift and transport up to 20 pounds for work purposes.
  • In-office presence required during traditional business hours.
  • Occasional weekend or evening work is required.
