The Donor Services Coordinator is responsible for all gift entry and acknowledgement processing, as well as maintaining donor records and providing a high level of customer service to the organization’s donor base. The position reports to the VP Development & Marketing and provides a high level of accuracy and detail to ensure the donor management systems and processes runs smoothly.
Areas of Responsibility:
- Enter data for all individual and institutional donations and other transaction-related correspondence for individual, corporate and foundation gifts.
- Reconciles weekly checks with finance, preparing all gift reports, gift acknowledgements, maintaining electronic and hard copy donor files, resolve donor issues such as declined cards, checks, etc. and responsible for managing donation web sites such as [email protected] and [email protected]
- Prepares acknowledgment letters and tributes for all donations and pledges.
- Provides supporting information to senior management for personalized acknowledgement and donation-related correspondence.
- Creates and maintains in-house database of completed profiles for tracking purposes.
- Proactively updates donor information into donor databases including Raisers Edge, Engaging Networks, and gift report spreadsheet.
- Routes all gifts and pledges to department staff for proper coding, providing additional gift transmittal documents and background information if necessary.
- Serves as daily liaison to Finance Department to ensure proper coding, prompt entry, and reconciliation of gifts. Work with Finance on monthly reconciliation.
- Tracks and provides follow-up on all employer matching gift requests.
- Works with the Fund Development and Marketing/Communications teams to assist with implementing new campaigns, appeals, and mailing projects.
- Prepares fact sheets, briefs and profiles on individuals, corporations and foundations by using online research tools.
- Provides front-line customer service to donors regarding gift acknowledgements, refunds, and other donation and special event-related issues.
- Creates and maintains confidential donor prospect records in hard copy and electronic formats.
- Identifies and/or coordinates resources for execution of department administrative projects.
- Provides logistical support in stewarding relationships with donors to maximize giving potential.
- Other duties as assigned.
Educational Background:
Bachelor’s Degree required.
Skills/Experience:
- Prefer at least one year of direct experience within a nonprofit development department; or two years of progressive job-related experience as an Administrative Assistant or Executive Assistant.
