We are seeking a proven, self-motivated, cause-driven professional to join our youth development team. The Director of Operations Support & Administration supports the Vice President of Youth Development and program associates by providing day-to-day operations and administrative support to help accomplish the work and mission of the Tampa Metropolitan Area YMCA. Key functions of this position include supply chain management, managing licensing documentation, growth of program, communications, parent relations, survey management, managing audit processes and report creation/analysis. This position requires strong operational skills, organizational skills, written and verbal communication competencies, ability to create and implement processes, lead projects, and the use of discretion and independent judgment. The incumbent performs a variety of administrative functions and serves as a primary contact for internal and external constituencies on all matters pertaining to the youth development team.
- Responsible for ensuring compliance with all Federal, State, and Local regulatory codes for all before / after school enrichment sites as well as Y operating standards and school readiness contracts. Conducts regular audits as directed by supervisor and leads development correction action plans as necessary.
- Coordinates all recruitment strategies in collaboration with the recruiting department and ensures ongoing fulfillment of associate vacancies. Interviews and hires frontline associates as prescribed by supervisor and in coordination with Senior Program Directors.
- Partners with the VP of Youth Development to develop and implement a strategy to expand the Before and After School Enrichment program. Assists with the preparation and delivery of school presentations to expand into new service areas.
- Manages supply chain for all youth development sites ensuring all curriculum and program resources are organized, available and properly distributed ensuring sites are given the tools to offer a high quality program.
- Manages projects as assigned and coordinates all participants, supplies and scheduling necessary to complete them. Coordinates logistics for youth development meetings and trainings as requested. Assists with special events as needed.
- Provides senior level administrative support as assigned to include but not limited to: managing calendars, review and allocate invoices, collecting and managing supply orders, curriculum support, coordinating meetings; and all other office and administrative duties.
- Serves as liaison between Vice President and all internal cross-functional associates.
- Assist with budget management and supports budget creation, serves as ongoing budget manager and informs VP of Youth Development of critical variances as well as trends.
- Leads program registration process and in coordination with the CBO, develops forward facing consumer friendly registration processes.
- Completes research as appropriate. Assists in gathering and analyzing regional program metrics. Reviews selected reports; surveys, notes trends; prepares summary for distribution. Maintains computer databases for various reports and meetings.
- Uses discretion and independent judgment in handling confidential and sensitive information in connection with the VP’s responsibilities and communication to/from the VP. Maintains confidential files/correspondence as needed.
- Using good judgement, has authority and autonomy in response to and resolution of problems with parents, associates, vendors and billing issues. Responds to internal and external customers in a professional and prompt manner and within established time frames while consistently anticipating and exceeding their needs and expectations.
- Serves on Innovation and Project Teams and attends meetings and conferences as assigned by supervisor.
- Performs other duties as assigned.
- Minimum of three (3) years administrative or operations experience in a high volume, relationship-driven environment required. Prior sales experience preferred.
- Experience in youth development, education, and/or licensed childcare administration preferred.
- Supervision of multi-site licensed youth programs preferred.
- Advanced ability to multi-task, manage workload in an organized manner and use time efficiently; an ability to change direction quickly when circumstances require while maintaining positive attitude.
- Friendly and works well with others; ability to build relationships with key stakeholders/constituents.
- Ability to comprehend spoken communication and translate same to written communication.
- Proficient in all standard business software.
- Knowledgeable about office processes and procedures.
- Ability to work with integrity, discretion and a professional approach.
- Comfortable working with diverse populations (language, culture, race, physical ability, sexual orientation, etc.).
- Ability to speak and understand Spanish helpful.
- Successful completion of behavioral assessment, background screening and drug test. First Aid, CPR, AED and 02 obtained within first 30 days of employment and then maintained throughout employment.
- This position requires a valid driver license and will require frequent local travel.
