Under the direct supervision of the Executive Director, the Associate Executive Director will provide direct oversight for all programs and facilities at the Sierra Outdoor and Family Recreation Center that includes summer/holiday camps, afterschool, youth and adult sports, family programs, gymnastics, and teens while consistently anticipating and exceeding member expectations. The director will be responsible for creating and implementing an integrated program and camping strategy while delivering services as outlined by the association to include organization-wide standards and consistencies throughout all programs. The director will provide supervision to multiple program directors and oversight to these department staff teams driving superior program quality, ensuring all programs support membership, increasing program enrollments, and enhancing the member/participant experience. This position ensures that these teams operate efficiently and employs a continuous improvement model to meet and/or exceed goals for member/participant satisfaction, financial management and overall growth.

Areas of Responsibility: 

Key areas of responsibility include: ensure high quality program experiences while growing enrollment, build community relations/partnerships, supervise the program directors, ensure effective communication and coordination between center program lines and with association program line executive directors, and grow the center’s Annual Giving Campaign. 

Critical areas of expertise include: leading others and working in teams, highly organized multi-program management, delivering and managing robust programs focusing on quality, proven results in growth in programs, successful supervision of multiple full-time program directors to create a seamless team environment. Significant and successful Day Camp operation experience is vital.

Successful associates will have a passion to work with campers and families while supporting the vision and goals of the Y and have a commitment to excellence in every aspect of the services we provide.

Program Quality and Growth

  • Camp and Afterschool > Provides direct leadership and supervision to the Program Director(s) focusing on all summer/holiday camp and afterschool operations. Oversees all aspects of camp planning, camp associate recruitment and training ensuring the delivery of a fun and safe camp experience that supports membership. Ensures that the camp team operates efficiently and employs a continuous improvement model to meet and/or exceed goals for participant satisfaction, financial management and overall growth in all camping programs. 
  • Adult & Youth Sports > Provides direct leadership and supervision to the Program Director(s) specializing in youth and adult sports, camps and clinics with a focus on an integrated program strategy that supports membership. Provides quality service and communication to members and program participants and ensures an excellent Y program experience for all participants. Strategically leads associate and volunteer recruitment, training and development and overall program growth and quality. 
  • Teens > Oversees and manages daily operations of all teen programming including: Leaders Club, Youth and Government, LIT program and teen special events. Will attend teen overnight functions as needed.
  • Gymnastics > Provides direct leadership and supervision to the Program Director(s) specializing in Gymnastics operations, camps, and clinics with a focus on an integrated program strategy that supports membership. Provides quality service and communication to members and program participants and ensures an excellent Y program experience for all participants. Strategically leads associate and volunteer recruitment, training and development and overall program growth and quality.
  • Ensures a BEST IN CLASS camp and afterschool operation in every aspect of the operations (both internal and external) and exceeds Association youth development and camping standards.
  • Plan, develop, and implement robust camping program and lead innovation of new programs, activities, events, and new business lines
  • Secures ACA Camp Accreditation within 12 months
  • Maintains quality and ensures that the needs of the members and the community are met within departments and program areas through an integrated program strategy that supports membership.
  • Responds to member and participant concerns in a timely manner, ensuring a positive program experience for members and participants. Anticipate and exceed expectations consistently throughout programs.
  • Develops and implements association survey and measurement strategies and action plans – Listen 360 and NPS. 
  • Leads strategy implementation to achieve strategic plan targets for programming. 
  • Generates and/or analyzes program enrollment, and revenue to monitor and report on achievement of goals.
  • Develops and controls department budgets, achieves assigned operating margin, and ensures that resources are devoted to top priorities and strategic objectives. Operating Budget Responsibility: $1.3M

Team Leadership & General Functions

  • Provides direct supervision and leadership to the five Program Directors and key program leaders to hire, develop, motivate and retain a committed team passionate about the YMCA's mission, safety and service to members, and the Tampa Y promise. 
  • Provides direct supervision to all direct reports and ensures their professional development and success.
  • Supervises and leads program teams to create and maintain meaningful and impactful relationships.
  • Manages associate schedules and payroll for departments ensuring efficient use of resources occurs within programs at all times.
  • Ensures compliance with all federal, state and county laws and regulations related to payroll, licensing, child labor laws, etc.
  • Serves as Senior Leader in absence of Executive Director.
  • Completes all job related, supervisory and other trainings as required. 
  • Serves on all innovation teams, task forces, and projects as assigned.
  • Assists and leads all duties as assigned.

Development/Fundraising

  • Supports the Center Executive Director with the family center’s annual giving campaign and ensures success by ensuring the implementation and delivery of best practices.
  • Develops and maintains relationships with current and potential funding sources, both private and public.
  • Understands the pressing community needs and generates support for our cause and proven solutions for meaningful, enduring impact and stronger communities. 
  • Supports the Executive Director with Board Development, cultivation, onboarding, and community relationships

Safety and Risk Management

  • Ensures all Tampa Y program standards and best practices are implemented and followed. Applies YMCA policies and procedures, including those related to best practices, emergency procedures, medical and disciplinary situations and child abuse prevention. 
  • Ensures all program associates are properly trained and prepared for emergency situations. This includes implementing and following training requirements in addition to ensuring proper reporting of all incidents/accidents according to risk management procedures. 
  • Manages execution of consistent program processes, training and quality control measures to ensure all associates are operating with high level of service to all standards required.
  • Maintains proper records, including associate certifications, meetings, and trainings. 
  • Schedules associates and volunteers in accordance to safety and program needs and ensures all safety and program ratios are followed.
  • Monitors programming to adhere to all state, local and YMCA health & safety regulations. 
Educational Background: 
BA/BS in Sports Management/Recreation/Business Management or related field preferred.
Skills/Experience: 
  • Minimum of five years of experience in afterschool enrichment programs, recreation or similar youth/business related programs with supervisory and payroll management experience required. Prior experience with sports and teens preferred. 
  • 5 years of experience in day camping programs (3 supervisory) serving at least 150 campers per week (preferred)
  • Experience serving on leadership team of a Y (or similar) membership organization serving over 3,000 membership households preferred.
  • Proven results in increasing program quality and growth through exceptional planning and organizational skills.
  • Successful experience with multi-program management within a Y (or similar) membership organization preferred.
  • Highly motivated with the consistent ability to meet or exceed goals, cultivate and retain program participants.
  • Ability to quickly build rapport and develop effective relationships with program prospects and others to achieve goals.
  • Demonstrated skills in fiscal management and financial development (including annual campaign, capital, and/or planned giving) and achieving margin targets.
  • Consistently self-driven and goal-oriented with the ability to set effective team and individual goals and take ownership for results.
  • Demonstrated ability to multi-task and adapt to changing contexts and priorities.
  • Strong analytical and critical-thinking skills with the ability to identify and leverage relevant data to use in planning and decision-making.
  • Ability to understand, adapt to and interact with diverse people, teams, perspectives and cultures.
  • Proficient in using email, Internet, and other PC-based applications with the ability to learn and adapt to new technology.
  • Must obtain within 30 days of employment and then maintain current certifications in CPR, First Aid, AED and Oxygen Administration.
