If hired for this position you will provide leadership, direction, and planning with regard to the operation, maintenance, and repair of association facilities and equipment. You will develop and use systems to ensure projects begin and end on time and are within budget, and that all equipment, systems, and facility preventive maintenance and repair plans are documented and completed. You will provide leadership to branch Facility Directors and the Facilities Cabinet to ensure a quality experience to members focused on YMCA core values: caring, honesty, respect, and responsibility.

Areas of Responsibility: 

Branch Maintenance and Repair:

  • Visit all branches bi-monthly, creating detailed facility status reports for the branch facilities staff and for the review of the Property Development and Facilities Director.
  • Inspect the condition of branches to determine needed repairs and preventative maintenance plans and document the findings and scheduled repairs in the Maintenance System.
  • Ensure the maintenance and security of property, buildings and equipment.
  • Develop facility standards, best practices, and a plan of action to ensure all branches in our Association are knowledgeable, well trained to deliver, meet expectations on a regular basis, and are routinely evaluated to determine areas of improvement.
  • Monitor the completion of work order tasks, preventative maintenance tasks, and associated work load. Develop a system of reporting on operational workload as well as forecasting future workload.
  • Create a culture for excellent facility management as well as innovation and improvement.
  • Provide immediate and ongoing feedback, coaching and mentoring to Facility Directors and staff based on direct observation and knowledge of facility maintenance and management. Serve as an expert resource on facility management and provide support and recommendations for improvement.

Facility Planning and Evaluation:

  • Provide direction and specific input for branches to set up and manage critical service and supply contracts through the preferred vendor program.
  • Assist branches with the development of annual capital projects list and forecasting, and submit recommendations to the Property Development and Facilities Director for review.
  • Schedule and work with Branch Facility Directors to set agenda and facilitate the Facilities Cabinet.
  • Lead Branch Facility Assessments in coordination with the monthly branch assessment calendar.
  • Ensure elements of training and development, best practices, challenges, etc., are included to develop a strong Facilities Cabinet.
  • Develop an association fixed asset management system in conjunction the Finance Department.
  • Develop and maintain an association inventory of exercise equipment and work with the Accounting Manager to evaluate lease vs. buy options. Coordinate the rollover of new equipment each year and work with branches to develop equipment needs, coordinate with Finance Department and vendors to place orders, and schedule the extraction and delivery of equipment.

Safety and Risk Management:

  • Coordinate with the YMCA Safety and Risk Management Team to ensure all safety procedures are followed and maintain strict adherence to YMCA of Pierce and Kitsap Counties policies and all local, state and federal regulations (e.g. OSHA, MSDS, energy lock out).
  • Inform staff of changes in technology, laws, codes or regulations with regard to general facility maintenance.

Contracts and Resource Allocation:

  • Analyze usage and provide direction and assistance to branches relating to operational contracts within the current facility department budgets.
  • Determine the cost-effectiveness to set up and manage critical services and supply contracts of facility department budgets through preferred vendor programs, i.e., utilities, gas, electric.
  • Collaborate with CFO to ensure consistent management of all contracts.
  • Identify areas for potential branch cooperative actions, and coordinate the development and management of regional efforts to create efficiencies, meet the needs of the Association and achieve the Y mission and operating objectives.
  • Represent the YMCA and maintain appropriate relationships with area organizations, community leaders and businesses.

Fiscal Management:

  • Provide leadership and expertise to assist branches with establishing facility budgets and goals, and ensure success toward association measurements.
  • Work closely with Executive Directors to develop and ensure the implementation and monitoring of plans to maintain the facitlities and grounds.
  • Manage bid process and contract management for equipment.

Financial Development and Philanthropy:

  • Meet performance measurement through annual giving, major gifts, and/or endowment by telling the Y story and raising charitable dollars to fulfill our mission.
Skills/Experience: 

This position should have a track record of leading staff and departments to achieve set goals.

  • Minimum of seven years experience maintaining similar facilities, including supervision and fiscal management, project management, and expertise in at least one specific trade, or a bachelor’s degree in a related field with a minimum of three years progressive responsibility.
  • Ability to systematically analyze complex problems, draw relevant conclusions and implement appropriate solutions.
  • Strong written and verbal skills, and ability to convey complex information in a way others can readily follow.
  • Ability to establish rapport and excellent communication with vendors, staff, and volunteers.
  • Proficient computer systems skills and experience, preferably with Microsoft Office computer software products, and Facility Dude.
  • Must have the ability to work under pressure in a fast-paced environment, set priorities to meet multiple deadlines and stakeholder needs, and work well with a variety of individuals.
  • Positive attitude and previous experience with diverse populations.
