Would you like to work for a cause-driven organization supporting over 2500 employees? As the accounts payable specialist, you will provide financial and administrative support to the association and branches with strong focus on YMCA core values of caring, honesty, respect, and responsibility.
If hired for this position you will keep track of all purchase orders, payments, and expenditures against budget, and process all invoices and employee expense reports for payment. You will process month-end accrual journal entries, monthly reconciliation of balance sheet accounts, and expense account analysis.
- Process all payable invoices for the Association including distribution of invoices to branches for approval and maintain vendor files and archives.
- Set up A/P vendor cards with correct payment terms and primary G/L codes.
- Maintain expense allocation for utility and equipment lease accounts based on the pre-determined formula in Great Plains.
- Process weekly check runs and ensure checks are mailed/distributed on the same day.
- Process invoices for weekly credit card payment in Great Plains and upload the AP Connect batch file for processing.
- Generate Positive pay file in Great Plains after every check run.
- Maintain vendor cards with accurate and up-to-date information.
- Provide timely reporting and account analysis to support branches and Association Office staff as requested.
- Develop and maintain accounts payable policies and procedures to ensure strong internal control in compliance with the U.S. GAAP.
- Manage purchase order process and educate branches on preferred vendors.
- Prepare month-end accruals and journal entries and perform timely account reconciliation.
- Support paperless processes by developing a strategy and execution plan.
- Support branch staff regarding accounts payable processing.
- You have basic accounting knowledge for accrual-based accounting and accounting principles.
- You have a minimum 2 years work experience in administrative or accounting office.
- You have demonstrated skills in accounts payable processing, 10-key, and account reconciliation. Great Plains experience a plus.
- You have excellent organizational, communication and interpersonal skills.
- You have excellent attention to detail and critical thinking skills.
- You are able to consistently meet all deadlines.
- You are proficient with Microsoft productivity software such as EXCEL and Word.
