The primary role of the Associate Executive Director is to oversee and support the overall operation and goals of the Stoughton Branch and Association. The Associate Executive Director will focus on the needs of the community and building relationships. He/She will develop strategies and processes to increase revenue and provide exceptional member service in all aspects of Membership, including KidZone, and Health and Wellness. All is done with a team focus on goals and collaboration. The Associate Executive Director must have an accurate assessment of the building and outdoor functions, membership needs, personnel, programs and finances to ensure that the mission and goals of the Association are met. The Associate Executive Director will demonstrate the character values of Caring, Honesty, Respect and Responsibility at all times.
Program/Department Responsibilities
- Establishes annual departmental goals within context of agency goals and vision and ensure direct reports attain those goals
- Works with staff to understand retention through assessment of member needs
- Develop and execute departmental short/ long term work plans and programs, in conjunction with appropriate staff members
- Develops and recommends new programs, processes, partnerships, strategies, and approaches
- Ensure all requests, comments and/or complaints are addressed immediately. Follow up to ensure task is completed.
- Act in a Public Relations capacity when communicating with members, potential members or anyone who enters the Stoughton Branch or through social media.
- Facilitate special events ensuring the event meets the needs of the community and supports the values/programs of the Y
- Develops and recommends new programs, processes, partnerships, strategies and approaches
- Ensures smooth and effective operation of programs with exceptional customer service
- Communicates with management team and task forces to work collaboratively to realize strategic vision and operational excellence
- Recommends changes in basic direction, structure, and/or organization of department, as necessary
- Maintain all appropriate certifications including Y of the USA and ensure that all staff have the opportunity to do the same
- Be proactive and create, implement and manage new systems, procedures, and programs to better meet the needs of our community
- Manage and Evaluates branch Emergency Action Plan
Supervisory Responsibilities
- Recruit, hire, train, evaluate, supervise, and schedule Membership Director and Health & Wellness Staff.
- Organize and facilitate regular meetings with staff to ensure work plans are being adhered to or modified as needed, vision and goals are known, objectives are well prioritized, and tasks are well managed.
- Develop tools to better communicate and provide resources to all staff
Fiscal Responsibilities
- Formulates, administers, and monitors budget for Membership and Health & Wellness Departments.
- Establish, meet and/or exceed predetermined budgeted numbers, mutually agreed upon with Vice President
Facility/Housekeeping Responsibilities
- Ensure a safe, clean environment for all members in all areas
- Communicate to appropriate staff facility issues which need to be addressed in a timely manner
- Manage CDL (Cause Driven Leader) schedule
Interdivisional/Community/Volunteer Responsibilities
- Actively participate in the Y’s Annual Campaign individually, through staff team, and by leading the special events committee in at least two fundraising events annually
- Actively promotes the integration of the Healthy Living, Youth Development and Social Responsibility with all departments through communication, grant writing, and strategic planning to ensure growth, mutual success, and productive, professional relationships
- Maintains and fosters partnerships in the community
- Cultivates, trains and evaluates volunteers for program involvement and Ambassador roles
- Multi-Team or Branch Leader Certification from Y-USA
- At least 5 years of supervisory experience required
- CPR/AED certifications required
- Ability to work and thrive as part of a cohesive team
- Strong interpersonal, customer services and networking skills necessary
- Ability to lift/move heavy equipment and clean when necessary
- Will sometimes work early morning, late nights and weekends
- Strong oral communication skills required for occasional public speaking responsibilities
- Excellent written communication skills and proficiency in all Microsoft Office programs
