This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living and social responsibility by overseeing accounting functions such as general ledger/account maintenance, account reconciliation, data processing and reporting. 

Areas of Responsibility: 

Office Manager duties:

  • Thinks, communicates and behaves as a cause-driven leader and role model for other staff and members when it comes to desired staff behaviors; promotes youth development, healthy living, and social responsibility in all job-related functions. 
  • Performs the accounts payable process by processing check requests, processing purchase orders for payment, printing checks, and filing documentation. 
  • Reconciles account balances on the general ledger and prepares back up documentation for assigned accounts.
  • Prepares journal entries for month end and performs the monthly close out.
  • Manages the corporate credit card program.  Ensures timely review of credit card reports and audits reports for accuracy and substantiated receipts.
  • Prepares analysis for special projects assigned.
  • Supports the preparation of and oversees daily bank deposits and reconciles income with end of day reports; maintains accurate petty cash records; notifies CEO when irregularities are noted in reports/records.
  • Assists CEO in communications with consulting board, leaders, members and community. 
  • Supports the coordination of the entry of all programs and services into Daxko Operations and Daxko Accounting, and any other software program used by program directors. 
  • Records donations and pledges for the annual campaign and other fundraising activities with the development department
  • Records, tracks, and prepares financial reports for grants fulfillment.
  • Child Care, Camps and Sports registration data entry and payments oversight:
    • Oversees front desk staff for individual registrations for participation in child care, sports and camp programs, and ensures data and payments are correctly entered.
    • Ensures front desk prepares weekly rosters of program participants for program directors.
    • Reviews Daxko Operations portal daily to review swipes and payments. 
    • Maintains records of fees received, and other data related to programs for use in statistical reports. 
    • Prepares periodic summaries of child care/camp registration and payment information for review by administrative personnel.
    • Other duties as assigned.

Office Manager duties:

  • Prioritizes and manages the flow of daily administrative/office work including:
    • Maintaining office equipment (i.e. copier, fax, postage machines; printers; computers) by communicating with service providers or IT department
    • Oversees ordering and maintaining accurate inventory of office supplies
    • Oversees the purchase order process (distributing, logging, preparing approval, sending to accounts payable) so that supplies are obtained and vendors are paid in a timely fashion
  • May occasionally work at/help out at the front desk if needed.
  • Other duties as assigned
Educational Background: 
At least an associate’s degree in finance or accounting and 4 years of relevant work experience, or 7 years of relevant work experience.
Skills/Experience: 
  • Passionate belief in the Y’s cause of nurturing the potential of all youth, supporting healthy living for all people and finding ways to help and support our neighbors.
  • Ability to relate effectively to diverse groups of people from all social and economic segments of the community.
  • Knowledge of word processing, spreadsheet and database programs. Computer literacy in Excel and 10 key operation skills required.
  • Proven track record of developing authentic relationships with others.
  • YMCA Team Leader certification; if not certified, must obtain certification within 24 months.
  • Experience using accounting software.
  • CPR, First Aid, AED and O2 certifications must be obtained within 90 days.
  • Must be highly organized and have the ability to work with confidential matters.
Compensation/Benefits: 

Salary: $45,800.00 - $51,000.00
