Donation Receipt and Processing

  • Responsible for copying, acknowledgement, logging and mailing of deposits to our donation processing vendor or National office for all events, general donations, memorials, grants, etc.
  • Coordination of Chapter acknowledgement process for gifts received at the chapter including tribute/memorial donations. Notify appropriate staff of all gifts of $100 or more
  • Update donor database with returned mail/address changes/donor requests
  • Monthly reconciliation of vendor deposit reports, work with Donor Services to solve any discrepancies and file with Chapter Finance lead 

Chapter Website & Database Maintenance

  • Become certified Personify CRM  and Team Approach Donor Database user
  • Support input and maintenance of data quality Manage the donor database, including:
    • Gift processing, reporting, acknowledgement and chart of accounts management
    • Researching and following up donor inquiries
    • Matching gift processing and follow-up
    • Synchronizing peer to peer donor site with the constituent database 
    • Oversee matching gifts program and non-special event on-line giving efforts

Logistical support for the Walk to End Alzheimer’s (WEA), The Longest Day (TLD) & other chapter special events

  • Become "Super User" for the Convio fundraising database. Update content for multiple websites including the Walk to End Alzheimer’s and additional websites as needed.
  • Serve as the primary customer service liaison to address staff and participant questions/concerns for special event websites functionality and/or online fundraising.
  • Provide basic administrative support for Development team, including:
    • Assisting with office and telephone coverage when  necessary
    • Performing routine clerical functions, such as  copying, typing and filing
    • Creating merged mailing lists and email lists
    • Ordering materials and working with vendors
    • Preparing documents for meetings
    • Taking and distributing meeting agendas and minutes 
  • Deliver specialized functions to the Corporate Initiatives and Special Events teams by:
  • Monitoring sponsor payment and pledges
  • Tracking sponsor benefits for events
  • Supporting the various volunteer Committees with materials
  • Conducting online research regarding donor inquires and concerns
  • Placing welcome calls to new registrants
  • Updating/monitoring Raiser’s Edge, Convio, Image Silo and Sphere
  • Coordinate implementation of  events, including:
  • Assisting in the preparation of  event materials, reports, forms and correspondence
  • Providing logistical help with events, including preparing packets and marketing pieces
  • Updating websites in collaboration with our Communications team
  • Preparing written collateral in collaboration with our Communications team
  • Overseeing logistics, registration and set-up
  • Working with select sponsors
  • Arranging food and beverage services
  • Overseeing volunteer participation 
  • Performing other diverse duties as assigned
Educational Background: 
Bachelor’s Degree preferred or equivalent experience in fundraising
Skills/Experience: 
  • Small office environment. Accessible and smoke free
  • 37.5 hour work week. Typical hours: 9:00am - 5:00pm with ½ hour lunch
  • Occasional weekend and evening hours required

Minimum Requirements:

  • Two years’ experience with fundraising software, preferably Raiser’s Edge, and donor database applications; desktop publishing and online giving software (i.e., Convio & Sphere)
  • Two years of experience as an administrative assistant, secretary, office manager or similar position.
  • Proficiency with Microsoft Office, including Word, Excel and PowerPoint. Experience with digital platforms or software programs such as Publisher or InDesign a plus.
  • Proficiency with email, calendar and contacts using Google Chrome
  • Proficiency with constituent database management programs. Accurate data entry skills
  • Accurate proofreading skills
  • Must be able to communicate effectively with people of diverse backgrounds and ages
  • Excellent telephone and in person customer service skills
  • Strong organizational skills and attention to detail
