Position Overview

The Volunteer Program Assistant is part of Cascade’s Events and Rides Department. This paid position is responsible for assisting in the recruitment, management, training and recognition of Cascade’s multi-departmental volunteers. This position focuses on event volunteer coordination and assisting in the production of special events. This is a seasonal position with varying hours from April to August of 2018.

The Volunteer Programs Assistant will support the events team; volunteer management is the primary objective of the position. The Volunteer Programs Assistant will have the opportunity to participate in a full range of event activities, including but not limited to volunteer coordination, event setup and takedown, and event and equipment logistics. Preference will be given to those applicants whose schedules align most closely with the events schedule.

  • Friday, May 18 — Bike Everywhere Day
  • Saturday, June 2 — Flying Wheels Summer Century
  • Sunday, June 10 — Woodinville Wine Ride
  • Friday, June 29 — Seattle Night Ride
  • Saturday, July 14 & Sunday, July 15 — STP
  • Friday, Aug.17–Sunday, Aug. 19 — RSVP
  • Monday, Aug. 27 — High Pass Challenge

Core Responsibilities

  • Requires being onsite at nearly all Cascade events, assisting with volunteer coordination and event production
  • Assist in the recruitment, coordination, management, recognition and appreciation of Cascade’s volunteers
  • Willingness to take on a broad range of tasks related to the event
  • Pre- and post-event planning & recap
  • Learning and working with Cascade Bicycle Club volunteer database system (CERVIS)
  • Assist volunteers with registration, CERVIS accounts, scheduling and answering questions as needed
  • Supervise and facilitate evening, daytime and weekend volunteer events
  • Other duties as assigneds

Required Qualifications

  • Project management and scheduling experience
  • Excellent planning and organizational skills and a high level of attention to detail
  • Excellent customer service skills; able to interface well with the public and work effectively with multiple stakeholders on numerous projects
  • Previous experience volunteering for nonprofit organizations
  • Strong oral and written communication skills
  • Flexible, hard-working, self-starter
  • Ability to work independently; must meet deadlines and have the ability to manage multiple projects on an ongoing basis
  • Willing to work semi-frequent evenings, early mornings and weekends
  • Ability to lift 50 lbs regularly during events

Desired Qualifications

  • Proficiency with Google Drive and Google applications
  • Interest in recreational cycling a plus
  • Experience with volunteer databases
  • Experience supervising volunteers
  • Valid WA State Driver’s License
  • Experience driving large vehicles or box trucks is a plus

Employment Specifics

  • Hourly Wage of $19.23/hour
  • This is a seasonal, part-time, non-exempt position.
  • This position is anticipated to work 12-40+ hours per week from April to August 2018, with the majority of the hours falling during the months of June through August. Total estimated hours for this position is approximately 400 hours, subject to variation.
  • Actual hours worked per week will depend on the event schedule and may require semi-frequent evenings, early mornings, and weekend commitments. There will be some flexibility on the office hours depending on the assistant’s schedule.
  • This position reports to and is supervised by the Volunteer Coordinator.
