This position is allocated at Full-Time, non-exempt, and anticipated to start in January 2019.
Expected work schedule will be business hours of 9am-5pm, Monday-Friday.
Department Overview:
The Office Coordinator reports to the Director of Finance & Operations (DFO) and is part of the Finance & Operations Department. The position manages concurrent responsibilities in customer service and office and facilities coordination. The Office Coordinator is the leader in Cascade and Washington Bikes knowledge and the go-to person for staff, members, and visitors. The position supports all departments and programs in service of the missions for both organizations.
Core Responsibilities Include:
Customer Service 70%
- Answer and manage informational phone line and email inbox. Direct inquires as appropriate.
- Serve as receptionist and greeter for Cascade and Washington Bikes.
- Provide customer and member support in Cascade databases, CRM, and event registration.
- Work with the IT team to resolve issues and enhance the customer’s experience on cascade.org and wabikes.org.
- Coordinate distribution of Seattle bike maps and Washington Bicycle Law pocket reference.
- Effectively communicate with and support staff requests.
Office/Facilities 30%
- Open and close the office daily, Monday through Friday, from 9am to 5pm. (Flexibility when evening or weekend events occur.)
- Manage daily incoming and outgoing mail.
- Coordinate package pickups, shipment, and deliveries.
- Effectively communicate with the DFO to maintain facilities and office security.
- Manage schedules for meeting rooms, laptops, projectors, and Cascade vans.
- Coordinate ordering and organizing of supplies for the office, kitchen, and restrooms, and maintain office equipment and materials as needed.
- Coordinate food and beverage ordering for board and staff functions when needed, as well as aiding in handling post-event leftovers.
- Coordinate office cleaning with outside janitorial service, ensuring bathrooms and kitchen are tidy and stocked between weekly cleaning service.
- Coordinate storing and organization of materials within our office and storage spaces.
- Coordinate rentals of our auditorium to outside groups using the space.
- Act as point of contact for staff on issues around building systems, outside personnel working on site, office cleaning, and office equipment.
- Coordinate with staff to ensure that a clean and organized workspace is maintained and regulated.
- Other duties as assigned.

Minimum Qualifications:
- 1-2 years of applicable experience.
- Strong organizational and planning skills.
- Effective multi-tasking skills.
- Experience managing multiple calendars.
- Ability to effectively manage multiple priorities.
- Reliability and excellent time management skills.
- Computer/technology skills in Google Drive applications, including Docs, Sheets and Slides.
- Ability to work at the Cascade office during normal business hours of 9am-5pm, Mon-Fri.
Desired Qualifications:
- Knowledge or experience with Salesforce or other CRM tools.
- Experience with event registration and Cascade events.
- Facilities management for medium-sized office.
- Experience supporting racial, health, mobility, and/or environmental equity and justice programs and outcomes.
Hourly Wage:
$20.68 per hour. This is a Full-Time, non-exempt position. Expected work schedule will be business hours of 9am-5pm, Monday-Friday.
Due to the large-scale nature of events and their importance to the fiscal well being of Cascade and WA Bikes, staff members are required to work several events a year, a mix of mandatory all-hands events and choice events. This position will also require evening and weekend work.
