The Center on Reinventing Public Education (CRPE) is a nonpartisan research center, located in Seattle, Washington, and led by investigators and collaborators at Arizona State University.
The Executive Administrative Specialist is a cross-functional dynamic team member who will be responsible for supporting the Center on Reinventing Public Education’s (CRPE) leadership team with prioritizing, tracking, and coordinating a variety of time-sensitive projects and tasks. The Executive Administrative Specialist is someone who thrives in paying attention to tiny details, is resourceful, works well in a collaborative setting, and has a proven track record to self-direct and anticipate needs.
By leveraging strong communication and project management skills, the Executive Administrative Assistant will manage leadership’s calendars, draft correspondence with external partners and funders, and coordinate meetings and travel including agenda development and note taking. In addition, the Executive Administrative Specialist will coordinate specific project activities such as planning internal and external events.

Essential Duties
- Support coordination of CRPE leadership by tracking and managing priorities, critical tasks, and calendars, including scheduling of internal and external meetings, managing timelines, booking travel, anticipating needs, and following up on critical next steps
- Support in-person and virtual event planning, including coordinating dates with staff and external collaborators, sending out invitations, and managing and executing other planning activities
- Prepare agendas and materials for calls and meetings
- Support leadership with managing external contractors including but not limited to coordinating the drafting of scopes of work, coordinating and following up with contractors for deliverables, and coordinating with CRPE operations team for payment
- Assist with special projects and other duties as needed
Minimum Qualifications
Bachelor’s degree and five (5) years of executive-level administrative support experience; OR, Nine (9) years of executive-level administrative support experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
Desired Qualifications
- Four or more years of experience in an executive assistant role supporting executives or senior leadership, preferably with an education, nonprofit, and/or research organization
- Experience in using effective written, verbal, interpersonal communication skills
- Evidence of self-motivated work style and willingness to proactively take on projects and problem-solve
- Experience in using attention to detail and organization skills
- Ability to bring clarity to ambiguous situations, exercising strong-decision making based on information analysis in a fast-paced, dynamic, and deadline driven environment
- Ability to maintain confidences and protect confidential information
- Evidence of an equity-oriented mindset and committed to an ongoing and active fight against racism and injustice
- Experience in operations or project management, preferably with an education and/or nonprofit organization
- Work experience using Microsoft Office applications, Google Calendar, Google Drive, Zoom, and Adobe products
- Proficiency with Mac computers, Google Suite, and Zoom
Working Environment
- CRPE offices are located in Seattle, Washington, but CRPE welcomes remote applicants from anywhere in the United States
- Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse
- Frequently required to stand for varying lengths of time and walk moderate distances to perform work
- Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds
- Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts
- Communicate to perform essential functions
- Ability to work evening and weekend hours as necessary on short or limited notice
