The Conservation Coordinator will provide a variety of administrative and support services for land conservation and transaction programs in Washington (specifically forests, stewardship and conservation transactions), including project management, team coordination, meeting logistics, information management, and other support as needed.
Program Coordination
- Coordinate program activities within and between teams and works to find/create synergy across teams.
- Manage and/or track project timelines, tasks and deliverables, and assist with special projects.
- Assist with documenting program accomplishments, and metrics tracking and evaluation.
General & Administrative
- Perform multiple administrative functions related to the assigned program, including coordinating the development and management of contracts for services as needed, purchasing and maintaining electronic and physical program files.
- Document and compile all information necessary to pay taxes and fire assessment dues, and manage private leases on properties owned by the Conservancy.
- Enter data and manage corporate databases that document information related to transactions, legal ownership, and stewardship.
- Schedule and coordinate logistics for meetings and/or special events.
- Assist with the recruitment and training of program volunteers, and may coordinate the activities of volunteers.
Communications
- Act as storytelling champion for assigned programs and as liaison with Marketing to generate external and internal program communications and content, including maintaining internal intranet sites for assigned program areas.
- Coordinate production and strategic distribution of program publications, reports and other communications.
The Conservation Coordinator uses available systems and resources to maintain, track and research data, and produce and review reports. They apply established processes and practices in order to improve effectiveness and document program procedures for reference by staff. They will coordinate activities with multiple variables, setting realistic deadlines and managing timelines. They work cooperatively with Conservancy staff, providing information necessary to make decisions and solve problems.
RESPONSIBILITIES AND SCOPE
Level of Responsibility
This is a junior position and duties are performed under general supervision and established guidelines.
- Does not supervise any staff, but may supervise volunteers, interns, or temporary staff.
- Serve as a team member for assigned projects.
- Financial responsibility may include purchasing, processing invoices, contracting with vendors, and assisting with budget tracking.
Within the scope of the position, the Conservation Coordinator will:
- Demonstrate sensitivity in handling confidential information.
- Identify routine problems and utilize existing resources for resolution, refers difficult questions and problems to supervisor.
- Make day-to-day decisions within the scope of work assignments and prioritize work independently.
- Communicate on behalf of supervisor and/or team members with internal and external sources, including staff, donors, vendors, and business relations in order to coordinate arrangements, convey information, and ensure successful execution of program.
Work Environment & Schedule
- Willingness to travel (sometimes overnight) throughout Washington State, work overtime, and work evenings and weekends as needed.
- Work is performed primarily in a professional office setting and work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
- The Conservation Coordinator may infrequently work in variable weather conditions, at remote locations, on difficult and hazardous terrain, and under physically demanding circumstances.
MINIMUM QUALIFICATIONS
- Bachelor’s degree and 2 years related work experience OR Associate’s degree and 4 years related work experience OR equivalent combination of education and experience.
- Experience with Microsoft Office suite.
- Experience coordinating multiple projects.
- Experience in business writing, editing and proofreading.
DESIRED QUALIFICATIONS
- Multi-lingual and multi-cultural or cross cultural experience appreciated.
- Ability to manage multiple priorities and complete tasks independently within assigned time frames, with assignments sometimes coming from a number of sources and work independently.
- Ability to apply research skills and coordinate project information from a number of sources to populate databases, prepare reports and manage electronic files.
- Tech-savvy and proficient with video conferencing, electronic document management, Skype for Business, SharePoint and other common office software.
- Strong administrative and organizational skills including attention to detail and numerical ability.
- Ability to plan, administer and record results of work-team meetings and activities.
- Experience utilizing databases for data entry and report production.
- Excellent customer service skills and focus.
- Ability to write and edit written materials in English (required) and Spanish (preferred) for use with program communications and special events.
- Coursework, training or experience working in environmental science, natural resource management or environmental conservation.
