The Americas Division and Operations Department of Human Rights Watch (“HRW”) are seeking a Coordinator to provide day-to-day operational support in finance, human resources, facilities, administration and IT to ensure the smooth and efficient running of HRW’s São Paulo office and to provide research and advocacy assistance to the staff. The Coordinator position reports to the Brazil Director based in São Paulo and the Operations Project Manager based in New York. This position is full-time at 40 hours per week and will be based in the São Paulo office.
Areas of Responsibility: 
Americas Division (50%):
  1. Provide day-to-day administrative support to Americas staff, such as making travel arrangements, assisting with meetings and events, recording and processing departmental finances, and maintaining communication among HRW offices;
  2. Provide research and advocacy assistance; monitor human rights conditions by collecting and analyzing data;
  3. Prepare, draft, edit, format, and/or distribute materials such as news releases, letters, charts, briefing papers, op eds, talking points for interviews, other publications, and web content;
  4. Proofread, format, and help coordinate the production of reports;
  5. Assist with mission trips by drafting agendas, conducting background research and briefings, providing translation, and making logistical arrangements;
  6. Liaise with media contacts to maintain relationships with key journalists in the country and manage incoming inquiries from the press and public;
  7. Translate documents to and from English and Portuguese, coordinate external translators, and provide vetting and formatting of documents;
  8. Assist with managing HRW's digital presence, including social media and the webpage; and
  9. Carry out other duties as required.
Operations Department (50%):
  1. Provide general administrative and operational support to the São Paulo office, including answering phones, processing mail, maintaining accurate files and database records, assisting with visitors, and responding to requests for information;
  2. Maintain the smooth and effective functioning of the office; Handle general office maintenance and facilities issues; Oversee office moves, configuration and space sourcing;
  3. Maintain office security and protocols and ensure office safety standards are in compliance with local regulations;
  4. Act as the local Finance representative and assist with the implementation of Finance policies locally; Work with financial service vendors such as auditors, accountants and governmental tax offices;
  5. Manage the bank account and cash flow; Record and process all financial activity into the organization's financial system; Prepare external financial reports for the Accountant; Administer and process local employee payroll and benefits;
  6. Assist with ensuring local legal requirements are met and registrations are obtained to ensure HRW Brasil remains in good standing;
  7. Act as the local HR representative by liaising with HR staff in headquarters and assisting with the implementation of HR policies locally; Liaise with local government offices and other HR service providers;
  8. Maintain a good understanding and working knowledge of compliance with local employment laws, including assisting with immigration, visas and relocation of employees; Assist with the recruitment, onboarding, orientation and departure of local staff, fellows, consultants, and interns;
  9. Liaise with IT/helpdesk to troubleshoot computer problems and back up and update network files as necessary, and liaise with IT or local phone service and internet provider to troubleshoot phone and internet problems; and
  10. Carry out other duties as required.
Skills/Experience: 
Education: A bachelor’s degree or equivalent in management, public relations, law, journalism, international relations, social science, nonprofit or project management, or a related field is required. Certifications in finance/accounting and/or administration are highly desirable.

Experience: A minimum of three years of experience working in an office environment and/or assisting in field research is required. Financial and/or administrative experience preferably in a multinational organization is highly desirable.

Related Skills and Knowledge:
  1. Excellent oral and written communication skills in English and Portuguese are required. Proficiency in Spanish is desirable.
  2. Ability to multi-task effectively, including having good planning and organizing skills and ability to work under pressure are required.
  3. Strong interpersonal skills in order to work collaboratively within HRW as well as with external partners are required.
  4. Strong initiative and follow-through and the capacity to think creatively and strategically are required.
  5. Ability to make sound decisions consistent with functions is required.
  6. Excellent organizational, administrative, financial and analytical skills are required.
  7. Good judgment, discretion and the ability to maintain confidentiality are essential.
  8. Self-motivation and the ability to prioritize with minimal supervision and work independently as well as function as a member of a team with staff in multiple locations globally are required.
  9. Proficiency in computer packages including MS Office applications is required.
  10. Experience working for an international human rights organization in a support function is highly desirable.
