Under direct supervision of the COO, the Facility Director is responsible for managing the maintenance department and performing routine maintenance for all aspects of the Santa Monica Family YMCA facility. This person will provide repair services as required to keep the facility safe and functioning properly for members as well as identifying needed repairs which are beyond the scope of the maintenance department.  This position is also responsible for the overall cleanliness and disinfection of the facility, which includes supervision and management of the housekeeping staff. In collaboration with other departments, the Facility Director is responsible to monitor and to assure a clean, safe and attractive facility, with equipment and grounds that are well maintained and in good working condition.

Areas of Responsibility: 

Fiscal Management and Control:

  • Responsible for the development, control and monitoring of the department budget.
  • Order, maintain and monitor inventories for maintenance supplies, equipment and building needs.
  • Seek three competitive bids from outside contractors for all major repairs.
  • Review and have COO’s approval on all invoices for maintenance department.
  • Prepare and present reports to the COO on any budget variances exceeding $500.

Staff Management:

  • Hire, train, supervise and evaluate all housekeeping staff.
  • Assure a culture of safety and compliance with all risk management procedures and policies.
  • Develop and keep current written job descriptions with performance standards and employee records for all housekeeping staff.
  • Provide and maintain a current, written work schedule with scheduled breaks for all housekeeping staff. Assign detailed cleaning tasks and designated areas to clean.
  • Conduct monthly staff meetings and one on one meetings as needed.
  • Supervise staff in the repair, replacement, and preventive maintenance of all equipment, motors and pumps.
  • Provide information, training, and guidance to all department staff concerning preventive maintenance and proper care of facility and equipment within their area.
  • Constantly seek input from other departments and staff, make sure their requests are dealt with promptly.

Equipment / Facility Cleanliness and Repair:

  • Schedule staff to accomplish the daily plan for cleaning the building, equipment, and grounds. Include training for proper cleaning methods and safety.
  • Assure cleaning tasks and aesthetic repairs are completed according to set standards through daily inspection of facility and equipment.  
  • Perform basic installation, maintenance, and repairs to buildings and systems including electrical, plumbing, carpentry, painting, fixtures, lighting and HVAC troubleshooting.
  • Develop an action plan listing priority issues and promptly execute to obtain visible results in dealing with cleaning issues.
  • Assure supplies, parts, and equipment are on hand and in good working order, and all storage areas are organized and clean.
  • Assure state and building regulations and laws are enforced and followed according to ADA, OSHA and general safety compliance standards.
  • Ensure staff is properly trained in safety procedures for proper operation of equipment and cleaning methods.

Preventive Maintenance and Fixed Assets Program:

  • Develop a preventive maintenance program and implement the plan for each segment of the building, equipment and grounds (i.e. boilers, HVAC systems, elevators, etc). Include an annual and monthly timetable for major maintenance and repair items using the FacilityDude program Management System.
  • Keep a daily/weekly/monthly log recording all necessary repair information and readings.
  • Integrate an overall facility upkeep/maintenance list with priority of all aspects of the building and grounds operation.

Maintenance of Facility Grounds:

  • Develop and implement a plan for daily, weekly and monthly maintenance of the grounds. Such as the entranceways, planters, underground parking structure and watering systems.

Other Duties:

  • Maintain accurate and complete records on all equipment and facility related maintenance functions such as purchasing, repairs, contracts, warranties etc. through the Y’s FacilityDude management software.
  • Assist with setting up meetings and special events.
  • Be a team player and maintain positive relationships with community organizations such as fire and health departments. 
  • Carry out other tasks as assigned.
Educational Background: 
A high school diploma, and facility maintenance technician certification preferred. 
Skills/Experience: 
  • Three to five years of experience in facility management and housekeeping supervision.
  • Working knowledge of mechanical, electrical, plumbing, heating/air conditioning, and carpentry.
  • Working knowledge of grounds keeping and pool operations.
  • CPR/AED certification required.
  • Ability to respond quickly to facility repair needs and emergency situations.
  • Valid CA driver’s license.
  • Excellent organizational and communication skills.  Must be able to effectively problem solve and manage multiple tasks.
  • Experience working with diverse populations. 
  • Familiarity with personal computers. Microsoft Word and Facility Dude preferred.
  • Must have the physical, visual, and auditory ability to perform the essential functions of the job including lifting or moving heavy equipment in a safe manner.
