The Donor Services Specialist is responsible for the Chapter donor services functions. This position will be responsible for preparing donor gifts for data entry, as well as providing superior customer service by responding to donor services related questions and issues from both external and internal audiences. S/he will compile data for a variety of reports for the use of the Development office and provide other administrative support for the San Jose office.
This is a full-time position, located in San Jose, California and reports to the Chief Development Officer.
Areas of Responsibility:
- Perform all daily gift processing tasks, including but not limited to receiving and sorting mail, scanning gift documentation, preparing and coding gifts in accordance with organization deadlines and policies
- Prepare and mail donor acknowledgments for Donor Advised Funds, High-Profile Donors and Events
- Take donation calls, answer development and donation-related questions and fulfill all donor requests
- Collect information to track and report on donor giving, e.g. daily $250 gift report, Board Give/Get Tracking Report
- Perform all tasks related to maintaining, updating, de-duping and correcting donor record
- Maintain and update Key Stakeholder Lists, e.g. Board Alumni, Holiday Mailings, Event Invite lists
- Receive, route and file Planned Giving documentation
- Cross-train with Development Specialist
- Provide expert level support with tasks related to Team Approach and Convio Luminate donor records and data
- Cover front desk as part of a regularly scheduled rotation
- Provide other administrative support as needed

Educational Background:
AA degree, Bachelor’s preferred
Skills/Experience:
- 5 years of database management and reporting experience
- Strong data analysis skills
- Excellent written and oral communication skills
- Excellent customer service skills
- Strong organization skills and attention to detail
- Advanced computer skills including MS Office and Access Database. CRM database (Personify), Convio Luminate and Team Approach experience
- Ability and willingness to learn new software
- Data entry skill with speed and high accuracy (45 wpm)
- Ability to maintain confidentiality
- Office work experience
- Experience with Alzheimer’s or healthcare and senior issues a plus
