The Development & Outreach and Operations Departments of Human Rights Watch (“HRW”) are seeking an Associate in the San Francisco office to provide administrative assistance to both departments. The San Francisco office serves as an important base for HRW’s development, fundraising, and outreach activities in San Francisco and the surrounding Bay Area. This position is full-time at 40 hours per week and reports to the San Francisco City Director based in San Francisco and the Director of Administration and Operational Initiatives based in New York. HRW anticipates that the successful candidate will begin this position in July 2018.

Areas of Responsibility: 

Development (60%) 

  • Assist with the cultivation and stewardship of San Francisco Committee members and other supporters by scheduling and preparing for meetings, creating compelling communications and materials, tracking communication, and preparing meeting briefings;
  • Help produce the Annual Voices for Justice Dinners and other events throughout the year by liaising with vendors, creating timelines, tracking invitations and RSVPs, coordinating materials, and leading on-site logistics;
  • Update information in the Raiser’s Edge database to generate accurate and timely financial reports and other key reports to ensure successful relationship management;
  • Provide administrative support to the San Francisco City Director, including scheduling, preparing for and taking minutes at meetings, recording and processing divisional finances, and making travel arrangements; 
  • Prepare, draft, edit, format and distribute correspondence, documents and other materials, including web content for the San Francisco website and other social media as relevant;
  • Assist with the recruitment and coordination of interns; and
  • Perform other duties as required.

Operations (40%)

  • Provide general administrative and operational support to the San Francisco office, including answering phones, processing mailings, maintaining accurate files, and responding to requests for information;
  • Maintain the smooth and effective functioning of the office; Handle general office maintenance and facilities issues; Liaise with the landlord on issues relating to the premises;
  • Engage suppliers and providers and assist with negotiating commercial and services contracts in a cost-effective manner;
  • Maintain office security and protocols and ensure office safety standards are in compliance with local regulations;
  • Liaise with IT/helpdesk to troubleshoot computer problems and back up and update network files as necessary, and liaise with IT or local phone service and internet provider to troubleshoot phone and internet problems;
  • Assist the Director of Administration and Operational Initiatives in monitoring the San Francisco office administrative budget;
  • Process monthly bill payments incidental to office operations in compliance with procedures set by the Administration Division in New York;
  • Assist with the onboarding, orientation, and departure of local staff, fellows, consultants and interns; and
  • Perform other duties as required.
Educational Background: 
A bachelor’s degree in human rights, international relations, social science, or a related field is required.
Skills/Experience: 
  • A minimum of one year of relevant work experience is required.

Related Skills and Knowledge: 

  • Prior office/administration experience and strong organizational skills with meticulous attention to detail are required.
  • Excellent oral and written communication skills in English are required.
  • Strong interpersonal skills, including patience and a sense of humor, and the ability to communicate with a variety of audiences, including donors are required.
  • Ability to work well under pressure while juggling multiple tasks simultaneously is required.
  • Self-motivation and the ability to prioritize with minimal supervision and work independently as well as function as a member of a team with staff in multiple locations globally are required.
  • Strong analytical skills and the natural curiosity and creativity needed to conduct online research are required.
  • Ability to make sound decisions consistent with functions is required.
  • Proficiency in computer programs including MS Office applications is required; experience with Raiser’s Edge or other donor databases is desirable.
  • Experience with event planning, community engagement, and/or philanthropy is preferred.
  • Strong interest in human rights is desirable.
