NRDC is seeking an Administrative/ Program Assistant to work with the Climate and Clean Energy Western Region Team. This position will be an integral part of the program’s advocacy success. The position provides administrative support to managers and advocates and requires strong organizational skills, ability to juggle multiple complex tasks, and willingness to work with a diverse and fast-paced team with limited supervision.
Areas of Responsibility:
- Provide administrative support to program managers and advocates including calendar and meeting management, note taking, invoice and expense reporting, and supporting staff with collaboration applications such as BlueJeans and Dropbox.
- Process documents such as reports, memoranda, legal proceedings, etc. including drafting, proofreading, editing, formatting, and uploading in program libraries.
- Monitor monthly project and grant reports in collaboration with program staff.
- Coordinate with external consultants including tracking deliverables, processing invoices in accordance with consulting agreements, and editing contracts.
- Support the team’s compliance with regulatory agency practices including tracking major deadlines and filing administrative and legal documents.
- Support program representation at the California State Legislature by scheduling meetings with legislators, editing and proofreading draft legislation, and tracking progress of legislation during session.
- Coordinate meetings with multi-stakeholder coalitions for various advocacy projects.
- Find efficiencies wherever possible to ensure optimal administrative support to staff and compliance with institutional processes.
- Actively participate in office activities related to diversity, equity, and inclusion.
Educational Background:
Bachelor’s degree with excellent academic credentials
Skills/Experience:
- 3-5 years of administrative experience in a similar position supporting managers, senior staff, and teams
- Advanced Excel skills, and experience working with financial reports and spreadsheets
- Proactive and detail-oriented with the ability to deliver high-quality results on time
- Excellent verbal and written communication skills, and ability to build relationships at all levels in a collaborative culture
- Adept at working independently with accuracy and efficiency in a fast-paced environment
- Comfortable prioritizing, managing, and following through on complex tasks with a high degree of autonomy
- Proficient in Microsoft Office Suite / 365
- Superior proofreading and editing skills
- Interest in environmental and social issues
