The Finance and Administration Manager will provide oversight for Audubon California on all aspects of finance, accounting, budgeting, and grant administration. S/he will work with the Management Team to make critical decisions regarding financial and budgetary issues and ensure that managers have the financial and operational tools necessary to lead their programs.

The Finance and Administration Manager will also be responsible for working closely with Audubon's national office and ensuring that Audubon California has systems in place to ensure compliance with NAS’ finance policies and practices. Reporting to Deputy Director, the Finance and Administration Manager plays a key role in the overall success of the regional office and its centers and other business units.

Areas of Responsibility: 
  • Provide procedural oversight to administrative staff operating in the Audubon California cost centers in aspects of their financial responsibilities, ensuring compliance with NAS policies and procedures.
  • Work with appropriate staff to review expenses and implement adjustments to ensure cost savings and maximum efficiency within each cost center; prepare reporting and recommendations for Executive Director as well as drafting board & staff briefings and updates.
  • Responsible for managing monthly revenue and expense report requirements for ACA; prepare and analyze reports, reconcile data by liaising with the national office.  Manage program’s restricted, reserve, and capital accounts by reconciling as needed and managing transfers.
  • Collaborating with the ACA leadership team, obtain and review revenue and pay invoices by verifying and completing payable and receivable transactions; establish and maintain effective and accurate financial controls and accounting systems, and ensure compliance with NAS financial policies and procedures.
  • Maintain grant financial files/records and provide guidance to Executive Director and staff in the preparation of financial components of grant reports ensuring compliance with terms of the grant.  Coordinate all audit activities in regards to government grants working with relevant NAS staff. 
  • Utilize a set of Audubon systems such as Financial Edge (general ledger), ABM (budgeting), Salesforce (donor database) and become skilled at running, creating, and interpreting reports to ensure financial activity is reflected appropriately and information is communicated to ACA staff on a timely basis.
  • Identify and make use of resources available through the National Audubon Society finance team.
  • Supervise one grants and contracts specialist, and foster an internal customer service orientation to the finance function in California.
  • Other financial management and operational responsibilities as identified by the Executive Director.
Educational Background: 
Bachelor’s degree in accounting, finance, or business administration
Skills/Experience: 
  • At least 5 years of experience in relevant accounting and administrative position dealing with grants and contracts, including relevant experience at a nonprofit organization.
  • Proven record in project financial management, including managing budgets, financial aspects of government and foundation grants, review of General Ledger and submission of Journal Entries, completing reports, contracts, and other projects.
  • A team player with strong analytical relationship building skills and a deep attention to detail.
  • Self-motivated, dedicated to accomplishing tasks, able to take initiative and solve problems.
  • Excellent verbal and written communication skills.
  • Experience working with government grants highly desired.
  • Strong financial systems expertise, including both general ledger and budgeting systems; experience with Financial Edge or ABM a plus.
  • Proficiency with Excel, Word, PowerPoint, Adobe Acrobat, and other key Microsoft Office and web-based products; experience with Salesforce preferred.
  • Demonstrated leadership in developing and implementing creative administrative systems and solutions. Experience handling a large number of projects at once.
