The Donor Communications Coordinator works on a variety of activities to support the California Chapter’s Donor Communications Team, which develops compelling materials for corporate, foundation, and individual major donors. The role is responsible for managing the gift acknowledgement process, supporting the Program Manager in management of donor communication products, proofreading and editing donor materials, and associated administrative tasks. The position reports to the Donor Communications Program Manager, under the direction of the Associate Director of Donor Communications.
Donor Communications Coordinator main tasks include:
- Managing the Acknowledgement Process: Working with fundraisers, philanthropy operations, and the Executive Team to thank donors for their contributions to The Nature Conservancy. Includes tracking incoming gifts for acknowledgement and drafting acknowledgement letter correspondence.
- Supporting the Program Manager: Developing templates and timelines to assist in content creation for donor materials and updating the tracking calendar to help manage workflow for the team.
- Proofreading/Editing Donor Materials: Proofreading/editing donor communication materials such as proposals, reports, newsletters, board documents, strategy briefs, and Executive Director newsletters. Collaborating with the Donor Communications Team writers on materials.
- Providing Administrative Support: Inputting data into a fundraising management system, managing the email process for newsletters through Constant Contact, and various document retention filing coordination.
- The role entails working under deadlines to meet donor needs and multitasking various activities. The Donor Communications Coordinator applies established processes and practices to improve effectiveness. The Coordinator may have substantial contact with staff across various departments, donors, and partners.
RESPONSIBILITIES AND SCOPE
- Support the Donor Communications Team to ensure excellent donor stewardship, solicitation, and acknowledgement.
- Act independently on assigned tasks and exercise independent judgment based on analysis and experience.
- Duties are performed under general supervision and established guidelines.
- Refers difficult questions and unusual problems to supervisor or program lead.
- Serve as a team member for assigned projects.
- Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
- Work overtime as needed.
MINIMUM QUALIFICATIONS
- Experience in business writing, editing, and proofreading.
- Experience managing diverse activities to meet deadlines.
- Experience working and communicating with a wide range of people.
- Experience working with CRM databases.
PREFERRED QUALIFICATIONS:
- Strong organizational skills and attention to detail.
- Ability to analyze information for the purpose of preparing donor materials, coordinating efforts and solving problems.
- Experience working with databases, especially Blackbaud CRM, to manage and track data.
- Experience, coursework, or other training in fundraising principles & practices.
- Multi-lingual skills and multi-cultural or cross-cultural experience appreciated.
- Demonstrated commitment to the mission of The Nature Conservancy, such as experience canvassing.
