The Utah Operations Specialist is responsible for a variety of operations activities in support of the Utah Chapter, including administrative office tasks, processing invoices for payment, and support of the Development Program Specialist and the Director of Finance and Operations.

Areas of Responsibility: 

The Utah Operations Specialist is responsible for performing multiple administrative functions, including purchasing, filing, distributing mail, office equipment and common area maintenance, and reception backup. This includes answering phones, as needed, purchasing and stocking kitchen/bathroom/office supplies, maintaining the company vehicle and managing/supporting our teleconferencing meetings for all departments. In addition, the Operations Specialist supports the Development Program Specialist with data entry and reporting in our donor database system, including assisting, as needed, with our gift tracking process, prospect research and filing. The Operations Specialist also performs Information Systems, Human Resources, and Finance administrative tasks, as needed, in support of the Director of Finance and Operations, including Accounts Payable processing of all Chapter invoices for payment and performing Contracts administration/filing for the Chapter. The Operations Specialist may communicate on behalf of the supervisor with internal and external sources, including staff, donors, vendors, and business relations in order to coordinate arrangements, convey information, and ensure successful execution of the program. This is a full-time position that reports to the Director of Finance and Operations.

RESPONSIBILITIES AND SCOPE 

  • Act independently on assigned tasks and exercise independent judgment based on analysis and experience, referring difficult and/or unusual problems to supervisor.
  • Coordinate projects with several variables, working within a defined timeline and budget.
  • Demonstrate sensitivity in handling confidential information.
  • Perform non-routine analysis, research and follow-through.
  • Ensure compliance with Conservancy policies and procedures and external (donor/legal/IRS) requirements.
  • Financial responsibility includes purchasing, processing invoices, contracting with vendors, and assisting with budget preparation.
  • May act as a resource to others to solve problems and act in supervisor’s stead when instructed.
  • Provide input through project teams for the improvement of existing programs.
  • Travel and work flexible hours as needed.
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
  • Work is diversified and may not always fall under established practices and guidelines.
Educational Background: 
Bachelor’s degree and 2 years related experience or equivalent combination.
Skills/Experience: 
  • Experience generating reports and interpreting data.
  • Experience performing accounting/finance functions, preferably Accounts Payable.
