LLS Talent Development is seeking a Project Assistant. This position provides technical and administrative support for the Project Manager and the respective assigned projects. This role provides general administrative support, filing and project task management to support a department in the HR division that focuses on employee learning and the advancement of skills and knowledge of LLS employees and volunteers.

*Please note this is a FT Temporary position that will last up to 12 months paid through a staffing agency and assigned to work at LLS.  It is 35 hours a week.

Areas of Responsibility: 
  • Schedule appointments and meetings for the team as necessary.
  • Maintain correspondence tracking logs, compose communications and other documents as required by project team.
  • Create, organize and maintain project filing system. Keep project files up to date on a daily basis.
  • Assists in planning, coordinating and managing system installations and upgrades.
  • Support monitoring systems and escalate as appropriate complex issues.
  • Participate in projects and make recommendations as needed to ensure successful completion.
  • Assist in ensuring that all projects are delivered on-time, within scope and within budget
  • Assist in the completion of timely and accurate weekly reports.
  • Provide support in the definition of project scope and objectives involving all relevant stakeholders
  • Assist in user support, responsibilities include evaluating and responding to user issues, diagnosing problems and implementing solutions with minimal disruption to users.
  • Support the development of detailed project plans to monitor and track progress.
  • Assist in the creation and maintenance of comprehensive project documentation.
  • Follow up on inquiries regarding project initiative.
  • Coordinate internal resources and solution providers/vendors for the flawless execution of projects.
  • Provide technical support and training to system users as required
  • Assist other HR staff when needed and as appropriate.
  • Perform other duties as assigned.
Educational Background: 
Bachelor's degree in HR, Marketing, Communication or related area or equivalent experience.
Skills/Experience: 
  • Excellent communication and organizational skills.
  • Strong knowledge of Word, Excel, and Outlook. Project Management knowledge a plus.
  • Ability to work with and maintain confidential information.
  • Strong phone skills and writing skills.
  • Comfortable using and learning new technology
  • Strong work ethic, able to work independently with desire to learn and improve, and ability to manage time and complete assigned projects.
  • Promotes teamwork and collaboration within the department and externally by positive, cooperative attitude with willingness to take on additional duties as directed.

Education and Experience:

  • Experience working in an office setting.
