Program Manager

The program manager must have strong practical experience in project management, which was gained through managing large and complex projects. He or she must have the following:

  • Good knowledge and handling of project and program management methodology and techniques;
  • Good understanding of the wider objectives of the program;
  • Good understanding of the non-profit sector;
  • Ability to work positively with the wide range of individuals involved in program management;
  • Strong leadership and management skills;
  • Good knowledge of budgeting and resource allocation procedures; and
  • The ability to find innovative ways to resolve problems
Areas of Responsibility: 

The Program Manager is responsible for overseeing the development of programs that support COCA’s main objectives. Some of the primary duties include and are not limited to the following:

  • Organizing daily activities based on the goals of the organization
  • Devising new programs that support the organization’s objectives
  • Coming up with sustainable goals for the organization
  • Working with the Executive Director to develop budgets and plans for the programs
  • Evaluating and assessing the programs’ strengths and weaknesses
  • Meeting with the Board of Directors, Committee chairs and other stakeholders to discuss program status and goals
  • Working with the Executive Director to improve strategies

Program Manager Specific Responsibilities and Duties

Gold Ribbon Program – The Program Manager will be intimately involved with three major initiatives with in the Gold Ribbon program and will work with the Gold Ribbon Committee Chair to oversee:

  • Gold Ribbon Accreditation Visitor Program –
    • Logistics support of the Gold Ribbon accreditation visitor program for both the Camps and visitors
    • Availability & support to the Camps and visitors during the visit is key
    • Assist Chair in training Camps and Visitors for Visits
    • Continue development of Gold Ribbon Operation Documents
    • Gold Ribbon Self Certification Program-

Assuming COCA embarks on a 2-year program to certify the remaining 44 non-Gold Ribbon Camps the Program Manager will coordinate and support the candidate camps.

  • Gold Ribbon Online Portal –
    • Communication- From beginning to end, work closely with the camps and the visitors to ensure they understand how the portal works, how they communicate effectively with one another before and during document review
    • Online Portal Support – Working with the Executive Director and Gold Ribbon Committee Chair to design, test and refine the Gold Ribbon online portal
    • Document Support – Should bugs and design issues in the online portal reduce functionality, the Program Manager will be responsible to collect, store and report on Gold Ribbon application and support materials
  • Coordination of Gold Ribbon Committee Meetings– Spring and Fall Meetings
    • Work closely with Gold Ribbon Committee Chair to plan, schedule and develop the content for the meeting. Provide the committee with meeting agenda, necessary forms and documents

Annual Conference (COCAcon) Support -  Some of these tasks would be the specific responsibility of the Program Manager, others worked in collaboration with the Executive Director and the Conference Committee.  COCAcon is typically held second weekend of November.

  • Design and Email monthly MailChimp Newsletter to Members as well as additional conference newsletters about beginning in June
  • Experience in using event mobile app, Cvents
  • Production of Conference Program (pdf and mobile app)
  • Coordination of Conference Schedule
  • Speaker Coordination
  • Vendor/Exhibitor Coordination
  • Create Run of Show Slides for Best of COCA Awards Presentations
  • Spirit of COCA-I and Camp Spirit Awards Coordination
  • Assistance with the COCAcon website design
  • Attend COCAcon to ensure success from beginning to end

Educational Webinars & Town halls – Assist Executive Director to-

  • Identify content, speakers and coordinate as needed webinars to educate membership
  • Communicate and schedule webinars with speakers
  • Host the webinars and arrange all details with the speaker(s)
  • Create presentation slides for webinars & be able to share screen & manage technical part of webinars
  • Schedule and post webinar content to the event website
  • Help with the development of the ongoing training videos for the Professional Development Learning Center
  • Post webinars to You Tube post session
  • Post past webinar link to event website for members to view

Other-

  • Communication and collaboration with the Executive Director will be key each week. It is important the candidate is available for online meetings throughout the week with the Executive Director and others when necessary.

 

Skills/Experience: 

Program Manager Qualifications and Skills

  • Bachelor’s Degree in Business Administration or related subject
  • Experience with Microsoft Office 
  • Ability to learn about website database features and implementing information for COCA and COCAcon sites
  • Ability to maintain work flow in a fast-paced environment
  • Exceptional interpersonal communication skills
  • Ability to work closely with COCA Board, Executive Director, and COCA Members
  • Prior experience with all facets of Event/Conference/Venue planning and implementation
  • Experience working with a pediatric oncology camp
  • Managing budgets and expenditures
  • Skilled in planning projects
  • Post On and Manage COCA Social Media Platforms (Facebook, LinkedIn, Instagram)
  • Program/Brochure Design (digital)
  • Familiarity of video editing and posting videos to You Tube
  • Independent self-starter
  • Highly organized and detail-oriented
  • Skilled in using Microsoft Office, MailChimp, Survey Monkey, Word Press, You Tube
Compensation/Benefits: 

Working Hours

This is a flexible part-time salaried (exempt) position, requiring 30 hours/week. There may be certain times (particularly in the fall around the time of COCAcon, the Annual Conference) where additional hours will be necessary (and will earn compensatory time for hours exceeding 30 hours/week). Ideal candidate will consider this position as top priority. The COCA Program Manager is a tele-commuting, work-at-home position. Travel may be required to support COCA activities, and will be paid by COCA. In addition to compensation, COCA will reimburse $20/month for cell phone usage.

Project Time Commitments

  • Gold Ribbon Program- busy planning time, training and gold ribbon accreditation visits-January-September
  • Annual Conference (COCAcon)- monthly committee meetings, busy planning time is August-through conference, second weekend of November
  • Educational Webinars & Town halls- one hour webinars or town halls held throughout the year

Pay Range

$28,500 - $35,000/year
