This Development Assistant plays an important role by providing administrative support to all development and public relations activities, as well as participating in all fundraising activities including donor and public relations, direct mail appeals, and special events.  The ideal candidate will assist the CEO by:

Areas of Responsibility: 
  • Processing donations and prepare to acknowledgement letters and other correspondence.
  • Maintaining foundation, corporation and individual donor files.
  • Creating monthly fundraising reports and other database reports as needed.
  • Continually updating and correcting database records.
  • Conducting preliminary research on prospective corporate foundations and individual donors.
  • Coordinating productions and mailing of spring and year-end appeal letters.
  • Maintaining guest lists, gathering and preparing registration materials and other duties as assigned for fund-raising events.
  • Handling all administrative details associated with the Fundraising Committee.
  • Prepare media materials for distribution (i.e., copying, filing, mailing, emailing)
  • Assemble media and donor kits for events and meetings.
  • Collecting and assembling an organization newsletter 3 times per year.
  • Other duties as assigned by the CEO.

Essential Functions

  • 1ST Team:  Desire to perform as a member of the leadership team of the South Mountain YMCA Camps.

  • Planning and Execution:  Responsible for the “logistical support” of the development plan that accounts for the annual campaign, special events, future capital campaigns, and endowment efforts within the strategic plan of the South Mountain YMCA Camps.  
  •  Volunteer Management:  Responsible for working with the organization’s Board of Directors, Alumni Council, and Financial Development Committee on fundraising efforts.  Must coordinate the fundraising activities of lead volunteers, including the chair of each committee, council, or board to assure the most effective methods of soliciting and receiving large gifts.
  • Donor Research:  Research prospective donors and identify individuals, corporations and foundations with the capacity and propensity to give.
  • Records Management:  Responsible for data entry regarding all prospects research, family relationships, alumni information, community relationships, prospect visits and calls, invitations, gifts, and board and volunteer responsibilities and other items of note that could be helpful in fundraising. 
  • Relationship Building:  Assist the CEO in strengthening relationships with key constituents (i.e. Volunteers) through systematic cultivation.
  • Ethics & Accountability:  Follow appropriate gift acceptance policies that reflect legal and ethical standards.
  • YMCA Success:  Contributes time and effort to all departments when necessary to ensure the success and health of the YMCA.  As a full-time staff member of the SMYMCA team, the work week is expected to be 40 hours per week with the understanding that the job may require more or fewer hours depending on the season and requirements of our programs/events. 
  • These are not the only duties to be assigned.  Others will be assigned or reassigned as necessary.
Educational Background: 
A bachelor’s degree in a related field is recommended. 
Skills/Experience: 

This person will achieve YMCA of the USA Team Leader (trainings are available for those new to the Y).  A minimum of 3 years experience in development work is important.  The Development Assistant must demonstrate experience and competency in:
