Under the guidance of the Branch Executive or Program Director, the Sr. Program Coordinator will assist with the management of the Aquatics & Wellness programs, providing support to aquatics and wellness staff, creating collaborations with peers, staff and members. The Sr. Program Coordinator will build relationships with volunteers, members and the community, and provide helpful, friendly and professional customer service. They will be responsible to ensure that the aquatics and wellness departments will convey the mission, purpose, image and core values of the YMCA of Southern Maine. The Sr. Program Coordinator is responsible for maintaining schedules for staff, program development, assuring day to day compliance with all programs as well as maintaining applicable certification standards.

Areas of Responsibility: 
  • In conjunction with the Branch Executive or Program Director, maintain all aquatics and wellness programming and initiatives.
  • Hold accountable and provide supervision of aquatics and wellness staff and volunteers including interviewing, hiring, training, assigning and directing work, performance appraisals, and addressing complaints and resolving problems.
  • Greet all members and guests and provide excellent customer service both on the phone and in-person by providing accurate and complete information and problem-solving in a timely manner to the benefit of the members.
  • Communicate effectively with support services and other program leaders to coordinate programs to meet the needs of groups.
  • Assist the Branch Executive/Program Director in developing and monitoring aquatics and wellness budgets and adhere to association policies regarding fiscal compliance.
  • Attend and participate in YMCA of Southern Maine Program Team meetings for Aquatics and Wellness.
  • Provide a level of direct service work in program areas (including but not limited to lifeguarding, swim lessons coverage, etc.)
  • Meet the association standard for attendance, punctuality and dependability; keeping in confidence matters related to office or personnel; and, exercises good judgment around areas of responsibility.
  • Adheres to all Y Brand guidelines and receives prior approval for use and creation of any Y related social media from the Advancement department.
  • Work with branch leadership to raise money for the Y’s programs and financial assistance through the Y’s annual campaign (the Y’s annual fundraising campaign) by identifying prospects and making personal asks.
  • Learn and actively utilize ADP Employee Portal on a consistent basis.
  • Other duties as required.

Wellness & Aquatics Specific:

  • Be in compliance with YMCA and Health Department standards.
  • Create and maintain program calendars and schedules.
  • Ensure Wellness Center & Pool cleanliness with wellness and aquatics staff. Report any mechanical needs to Branch Executive and/or support services.
  • Check and record pool chemistry and discuss related chemistry or mechanical concerns with Branch Executive/Sr. Program Director and support services.
Educational Background: 
Bachelor’s Degree and 1-3 years proven supervisory experience. Prior experience in aquatics leadership role a plus.
Skills/Experience: 
  • Good decision making, communication and organizational skills.
  • Effective interpersonal skills and ability to effectively present information in a clear, understandable language in a group or one-on-one situation.
  • Familiar with budgeting process.
  • Self-motivated and ability to take initiative.
  • Certified Pool Operator (within 6 months of hire).
  • Automatic External Defibrillator (AED) and Oxygen (02) Training.
  • Maintain certification or re-certification and/or by taking CEC’s.
  • Proficient computer skills including Microsoft Office or Mac equivalent.
  • Effective problem-solving skills, multi-tasking, and strong organizational skills.
  • Valid driver’s license, reliable vehicle and ability to travel locally.
  • Required: Certified in YMCA On the Guard II and/or ARC Lifeguarding (YMCA preferred).
  • Certified as a Lifeguard Instructor Trainer preferred.
