Associate Executive Director

The Associate Executive Director plans, directs and coordinates all aspects of Health and Wellness, Membership, Childcare, Camp, and Building Departments. The Associate Executive Director must ensure smooth day to day operations in building functions, membership needs, personnel, programs, childcare, and camp finances to ensure that the mission and goals of the Association are met. The Associate Executive Director will demonstrate the character values of Caring, Honesty, Respect and Responsibility at all times.

Areas of Responsibility: 

Program/Department Responsibilities

  • Establishes annual departmental goals within context of agency goals and vision and ensure direct reports attain those goals
  • Works with staff to define, create systems for, and improve retention through assessment of member needs
  • Develops and executes departmental short- and long-term work plans and programs, in conjunction with appropriate staff members
  • Develops and recommends new programs, processes, partnerships, strategies, and approaches to promote sales, increase retention, usage, satisfaction, and minimize bad debt
  • Ensure all requests, comments and/or complaints are immediately addressed.  Follow up to ensure task is completed
  • Act in a Public Relations capacity when communicating with members, potential members or anyone who enters the Plymouth Branch
  • Facilitate special events as it relates to fundraising and member experience
  • Ensures smooth and effective operation of business systems, health and wellness programs and member experience, as well as exceptional customer service and relationship development
  • Ensures childcare and camp programs meet EEC and DPH guidelines and expectations respectively.
  • Communicates with branch leadership team and various task forces to work collaboratively to realize strategic vision and operational excellence
  • Recommends changes in basic direction, structure, and/or organization of department, as necessary
  • Maintain all appropriate certifications including Y of the USA and ensure that all staff have the opportunity to do the same
  • Be a member of the Management Team providing direction, goals, and branch vision to the team
  • Assume responsibility for the Executive Director in his absence
  • Be proactive and create, implement and manage new systems, procedures, and programs to better meet the needs of our community

Supervisory Responsibilities

  • Recruit, hire, train, evaluate, supervise, and schedule Welcome Center Coordinator, Health and Wellness Manager, Healthy Living Staff, Business Systems Manager, Building Manager, and Manager on Duty positions
  • Organize and facilitate regular meetings with staff to ensure work plans are being adhered to or modified as needed, vision and goals are known, objectives are well prioritized, and tasks are well managed.
  • Develop tools to better communicate and provide resources to all staff

Fiscal Responsibilities

  • Formulates, administers, and monitors budget for Building, Membership, Health and Wellness, and Healthy Living Departments
  • Establish, meet and/or exceed predetermined budgeted numbers, mutually agreed upon with Executive Director

Facility/Housekeeping Responsibilities

  • Ensure a safe, clean environment for all members in all areas through communications with Cleaning Company and supervision of Building staff
  • Communicate to appropriate staff facility issues which need to be addressed in a timely manner
  • Ensure regular walk-throughs are conducted by Building Manager to create preventative maintenance plan and troubleshoot issues before they occur
  • Manage Camp Clark grounds, buildings, and rentals

Interdivisional/Community/Volunteer Responsibilities

  • Actively participate in the Y’s Annual Campaign individually, through staff team, and by leading the special events committees for the Golf Tournament and Association Spin-a-thon.
  • Maintains and fosters partnerships in the community including but not limited to Beth Israel Deaconess, Plymouth Public schools, Healthy Plymouth, Plymouth Youth Development Collaborative and other key community partners.
  • Works to identify and ensure training of a Listen First Champion within the Easton branch
  • Cultivates, trains and evaluates volunteers for program involvement and Ambassador roles
Educational Background: 
Bachelor’s Degree required, Master’s strongly preferred
Skills/Experience: 
  • At least 3 years of supervisory experience required
  • CPR/AED certifications required
  • Ability to work and thrive as part of a cohesive team
  • Strong interpersonal, customer services and networking skills necessary
  • Ability to lift/move heavy equipment and clean when necessary
  • Will sometimes work early morning, late nights and weekends
  • Strong oral communication skills required for occasional public speaking responsibilities
  • Excellent written communication skills and proficiency in all Microsoft Office programs
