- Provides support for national, and state campaigns, initiatives and programs. Provides support with the coordination of programs or issue-related projects. Researches programmatic or issue-related areas and resolves, as appropriate. Utilizes a high degree of technological aptitude in support of office requirements. Performs activities directed by the Supervisor, Operations, State Director, or other assigned supervisors. Incumbents(s) in this position may perform all or a significant combination of the tasks described below depending on operational requirements, assigned location, and individual areas of expertise. Support timely documentation of state strategic priorities and planning by participating in and contributing to team planning sessions. Strong execution of logistics in support and planning of events and meetings. May focus primary programmatic support to a particular field including but not limited to advocacy, communications, or community outreach and must operate well with deadlines. Maintains project/activity work plans, calendars and records and provides logistical and administrative support to assigned team. Serves as a resource person to volunteers by providing assistance on expenses, travel and event logistics.
- Acts as the first point of contact in the state office for AARP members, the public, volunteers, and vendors. Answers general questions about AARP’s programs, products & services and directs members and the public to the appropriate departments as needed.
- Orders brochures, publications, supplies, and forms from Fulfillment, as well as promotional items from Brand and third-party companies. Anticipates the need for these items at events and also maintains a supply on hand at all times.
- Answers State e-mails, phone calls and maintains the office mailroom, including coordination of state office mailings.
- Maintains project/activity work plans and calendars along with the State Office master calendar. Manages conference room reservation schedules and provides assistance to partner organizations during use of meeting space. Coordinates activities to support the various programs and events. Strong execution of logistics in support and planning of events and meetings. Serves as a resource person to staff and volunteers. Participates in team meetings, maintains records, and prepares reports.
- Tracks volunteer/project activities or resources, conducts on-line searches, gathers information, sorts data, and compiles reports. Oversees information dissemination and keeps staff and volunteers informed as needed. Creates and/or maintains office databases and serves as the lead for projects.
- Coordinates travel, and appointments for volunteers and prepares expense reports as required. Works closely with volunteers on electoral and legislative activities or programs. Coordinates or organizes volunteer and member engagement opportunities and volunteer participation in events and meetings. Assists with various events and activities. Trains and/or supports staff and volunteer application of systems and technologies in support of organizational goals and objectives in keeping with AARP policies and procedures.
- 2+ years of progressively responsible administrative experience; or an equivalent combination of training and experience.
- Experience in project development, coordination, and implementation techniques; or an equivalent combination of training and experience related to the duties of the position.
- High degree of proficiency with MS Office Suite and general technical aptitude.
- Familiarity with Adobe, Travel may be required
