Summary of Principal Responsibilities

Provides US Programs Unit Staff in the Central Office (AGS US Programs, Director US Programs, Youth Director, and HMM Director) with logistical support in work with staff and governance committees, and convenings. Provides executive support to Associate General Secretary for US Programs, and as needed, provides general support to regional leadership staff when they are in the Central Office. Facilitates effective communication among staff leadership in US Programs Division.

Essential Functions/Responsibilities: The key responsibilities of the Assistant to the AGS for US Programs, include the following:

  1. Participate in staff and governance meetings, such as the US Consultative Group and the Executive Committee Clerks Group, record meeting notes and implement system to ensure action on decision minutes. Maintain current information for these committees on AFSC’s intranet server.
  2. Coordinate the arrangement of convenings involving staff and/or AFSC volunteers.
  3. Respond to requests for public information on US Programs.
  4. Provides Associate General Secretary for US Programs with executive support (e.g. calendar maintenance and scheduling;coordinating travel; preparation of expense reports and presentations) and serves as primary point of contact for the AGS for US Programs.
  5. Assist in maintaining effective communications between staff in the US Programs Division, both in the Central Office and across the country.
  6. Support Youth Director in maintaining communications and obtaining reports from Centrally Funded Interns and Fellows, as well as facilitating inter-departmental communications about the individuals in this program.
  7. Take on new projects and assignments as necessary.

Minimum Qualifications

Education:  Associate’s degree or equivalent strongly preferred. Exceptional work experience may be accepted in lieu of the degree.

Experience: At least five years of progressively responsible and comprehensive work experiences that are similar to the functions and responsibilities described above. Competence in a second language (i.e., other than English) is desirable.

Other Required Skills and Abilities:

  1. Must be highly organized and detail-oriented with demonstrated ability to take initiative within established guidelines; exercise sound judgment; and complete work independently in an environment of changing priorities.
  2. Advanced skill in use of Microsoft software applications, including Word, Excel, Outlook, Skype for Business, and PowerPoint. Experience with databases and Share Point is highly desirable. Must be willing to learn other software applications as needed.
  3. Demonstrated ability to maintain confidentiality.
  4. Dependability in meeting regular work hours and the flexibility to work alternate hours. Must be able to attend weekend and evening meetings, and travel as needed.
  5. Demonstrated ability to communicate well orally and in writing.
  6. Must be skillful and tactful in communicating in person and on the phone.
  7. Creativity, patience, energy, ability to listen, and a sense of humor.

Compensation:  Salary begins at $47,609 – Exempt – Comprehensive medical and hospitalization plan; term life, accident and salary continuation insurances, defined benefit pension plan, plus fringe benefits; participation in unemployment and worker’s compensation and social security.
