The Preserve and Volunteer Administrator will be responsible for developing and/or supporting all docent programs and activities as well as other administrative duties for the Tallgrass Prairie Preserve. 

Areas of Responsibility: 

The Preserve and Volunteer Administrator will be responsible for management of the Tallgrass Prairie visitor center/gift shop and other administrative duties. They will coordinate projects with staff and docents, maintain and improve the docent database, and promote docent leadership. They will supervise programs and special events run by staff and docents, including preserve work projects and public outreach. They will recruit, provide training and recognition, and ensure continuity and quality of all docent programs. The Coordinator will provide leadership and direction to the docents and will work cooperatively with Conservancy staff and members, as well as partner organizations, agencies and businesses. Additionally, the Administrator will oversee visitor conservation education and outreach opportunities. He/she will need to have a strong understanding of TGP history, current conservation initiatives, conservation education, and be multi-functional with administrative duties, listed below.

RESPONSIBILITIES AND SCOPE 

  • Responsible for purchasing, inventory, and balancing cash register sales for the gift shop.
  • Must remain up to date on administrative SOPs, electronic point of sale/inventory system, and provide support to TGP operations manager (contract review, invoicing, scheduling, facilities use, etc.).
  • May negotiate new vendor agreements/contracts as needed.
  • Will recruit, train, and manage large docent base of over 150 docents.
  • Will review and maintain Visitor Center educational displays and materials and may support on-site conservation education programs.
  • Coordinate multiple projects with several variables, setting realistic deadlines and managing a timeline;
  • Demonstrate sensitivity in handling confidential information;
  • Purchase equipment and supplies as provided for in budget; may assist with budget preparation and monitoring;
  • Identify routine problems and utilize existing resources for resolution;
  • Make day-to-day decisions within the scope of work assignments;
  • May supervise administrative staff and/or docents, interns, or temporary staff;
  • Work independently without requiring detailed management review of general work;
  • Travel extensively for several days at a time and undertake evening and weekend work, as needed; and
  • Manages facilities maintenance, may occasionally require stepping in to prepare facilities for meetings and events.
Educational Background: 
Bachelor’s degree and 1 year experience or equivalent combination;
Skills/Experience: 
  • Experience in organizing and managing a volunteer program;
  • Experience managing diverse activities to meet deadlines; and
  • Experience working and communicating with a wide range of people – excellent communication skills required.
  • Expert with basic computer programs, including Outlook, Word, and Excel.

DESIRED QUALIFICATIONS

  • Experience in conservation education programs and facilities;
  • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated;
  • 1-year experience in organizing and managing a volunteer program;
  • Ability to analyze information for the purpose of preparing reports, coordinating efforts, and solving problems;
  • Demonstrated knowledge of the structure and needs required by a volunteer program;
  • Database management skills with ability to produce reports;  
  • Strong organizational skills and attention to detail;
  • Supervisory experience.
