350.org is looking for a skilled Senior Programme Team Coordinator to provide project management, coordination and administrative support to global leadership teams.
Remote working position and location is flexible, however Europe or Africa timezone are preferred
The Senior Programme Team Coordinator will provide first class project management and coordination support to key global leadership teams within 350 - the Global Programme Council the Global Campaign Group; to ensure effective administrative support to the Programme Director, with the support of Team Administrative Assistant, who will report to this post.
Establish and oversee effective team systems and ways of working for the Global Programme Council and Global Campaign Group
- Support the Chair by setting up and managing realistic, ambitious work plans for the Global Programme Council
- Establish and oversee effective team processes to ensure tracking and delivery of agreed actions and priorities
- Support the Chair to ensure regular temperature check on team health / learning / smooth running, on an individual and a collective basis
- Act as a primary ‘point of contact’ for team members to bring questions, concerns, ideas and feedback
- Ensure the provision of effective administrative support to the Global Campaign Group (note taking, scheduling calls etc)
- Ensure effective coordination between Global Program Council and Global Campaign Group
Ensure effective meeting preparation, delivery and follow up of the Global Programme Council
- Ensure regular virtual team meetings are set up with clear purpose, agendas and timely circulation of key materials to participants
- Ensure first class notes for meetings, with agreements and action points clearly identified and circulated
- Follow up with individuals on their action points, to ensure delivery as agreed (reporting back to Chair where there are issues to resolve)
- Lead the logistics and organisation of face to face team retreats (with additional administrative support as required
High-level project management and support to the Programme Director
- Deliver specified projects, as agreed by Chairs and Program Director
- Ensure strong administrative support to the Programme Director (diary management, travel etc), primarily by supporting the Team Assistant
Internal communications
- Ensure effective, streamlined communications between members of the team(s) on an ongoing basis through appropriate channels.
- Produce clear, compelling regular updates for wider 350.org staff on Programme Council and Campaign Group developments
Monitor external trends and developments
- Support the Programme Council and Campaign Group by tracking key external trends, developments, reports, analysis and offering summaries and synthesis to members of the Programme Council
- Keep an oversight / calendar of how 350 leaders are engaging with key network and external movement meetings
Line management
- To provide excellent management and support to the Team Assistant, including effective prioritisation of key tasks to support the Programme DIrector and wider Senior Programme Team members
- At least 3 years experience in an administration / coordination and project management support role
- Proven first class project management skills; highly organised
- Good interpersonal skills
- Excellent written and verbal communication skills in English
- A strong self starter, able to take independent initiative initiative
- Strong attention to detail
- Proven ability to synthesise and summarise complex information for high level discussion / consideration
- Proven commitment to principles of diversity, equity and inclusion
- Ability to work within flexible office hours due to timezone requirements
Desired (but not required) skills and experiences
- Experience / willingness to work across virtual platforms
- Experience working across cultures and in an international environment
- Familiarity with a range of project management tools and virtual office tools.
- Experience of managing administrative staff
