The Executive Assistant supports the cause-driven work of the YMCA of Central Florida, a leading nonprofit, charitable organization committed to strengthening community through youth development, healthy living and social responsibility. This full-time position is primarily responsible for providing high-level and well-organized executive support to the CFO in a wide variety of professional and executive functions.

Areas of Responsibility: 
  • The incumbent will proactively provide high-level administrative support, manage and maintain Outlook calendars, schedules internal/external meetings, appointments, creates itineraries, screens and answers calls, transcribes/prepares official meeting minute note taking, coordinates board meetings, assists with special events, and administers the BoardEffect cloud-based technology software.
  • The ideal candidate is tech-savvy, a natural problem-solver, extremely proactive, takes initiative, displays a high level of professionalism and confidentiality with a strong track record of success supporting C-level executives in medium to large organizations. S/he must be highly organized, great at developing efficiencies and finding opportunities to create automation. They should have the ability to have an immediate impact on the business through their advanced administrative, organizational, technical, and superior communication skills.
Educational Background: 
Associates degree or equivalent required. Bachelor’s degree preferred.
Skills/Experience: 
  • Minimum 5 years of experience in similar executive/administrative assistant roles with C-Level support experience for a mid-sized organization required. Preferably within a non-profit, health-care, financial services or similar environment.
  • Advanced Microsoft Office proficiency required.
  • Experience with meeting minute note taking. Transcription/preparation of official minutes.
  • Technology proficiency with familiarity of administrative software tools and the ability to quickly learn and use new systems with ease. Experience with BoardEffect software +.
  • Positive and proactive multitasker with a strong sense of urgency and a “get things done” attitude.
  • Able to recognize and appropriately handle highly sensitive and confidential material and information.
  • Flexible and comfortable in a fast-paced corporate office environment, dealing with ambiguity, able to make the right decision and execute on tasks in a timely fashion.
  • Professional demeanor and presentation.
  • Excellent interpersonal, verbal and written communication skills.
  • Excellent organization skills with an exceptional attention to detail, able to juggle and prioritize multiple tasks simultaneously.
  • Strong problem solving and analytical skills; able to troubleshoot issues independently and drive them to closure.
  • Demonstrated ability to create efficiencies and automation through software/technology.
  • Experience working with volunteers and board of directors, highly preferred.
  • Must be a team player, able to collaborate with all levels of staff, senior leadership, volunteers, and vendors.
