The volunteer coordinator is responsible for coordination and implementation of volunteer recruitment, training, placement and follow-up of program and administrative volunteers and assists with the recruitment and placement of development volunteers throughout the chapter service area. Additionally, this position manages the volunteer services database for the Chapter, ensuring the integrity, thoroughness and usefulness of data collected in volunteer records.
Areas of Responsibility:
Volunteer Coordination
- Manages recruitment, job postings and application process for program and administrative volunteers. Oversees volunteers and administrative staff to conduct screening. Conduct recruiting, screening, interviewing and placement within specific departments.
- Coordinates volunteer training (introductory, basic training and advanced programs) delivered through interdepartmental training team. Documents participation and alerts supervisors of volunteers who have not completed training within 90 days.
- Support chapter staff by managing Administrative/Office volunteers to fully support chapter activities and assure project completion.
- Fosters an organizational environment where volunteers are valued, supported and recognized for their contributions. Communicate regularly with administrative volunteers through phone calls, e-mails and personal interactions. Conducts 30-day check-in on volunteers and positions supervisors for a 90-day check-in. Work with and lead program staff in implementation of recognition activities and chapter-wide appreciation for volunteers.
- Manages key volunteer messages and delivery of communications to volunteers, including a monthly e-newsletter. Supports social media campaigns to recruit and inform volunteers.
- Manages Google form and future volunteer database and paper volunteer records for all volunteers of the chapter, providing information and data for program evaluation.
- Supports program and development events as needed on event day or in the management of volunteer data or scheduling leading up to events.
Community Outreach
- Assists with external relationship building by participating in community events as requested to insure Alzheimer’s Association representation and participation.
- Utilizes Personify, Excel, Google form and/or future volunteer database to document relationships with community organizations, affinity groups, or educational connections.
- Trains Program employees to use Google form or future volunteer database to manage and document relationships and identifies best practices for scheduling volunteers.
Development
- Trains the Development staff to use the Google form or future volunteer database to manage and document relationships and identifies best practices for scheduling event volunteers.
- Assists with recruiting volunteers for one-time development events.
- Follows up with development volunteers who express interest in ongoing administrative or program volunteers.
General tasks & responsibilities
- Attend monthly chapter meetings and special events as scheduled. Serve as liaison to internal committees and external professional networking groups as assigned.
- Represent the organization in public speaking engagements and community relation events in the area of volunteerism and community outreach as needed.
- Maintain reports, service statistics, volunteer records and contribute to grant reports.
- Engages administrative volunteers, when possible, in completion of assigned work.
Educational Background:
Bachelor's degree in human resources management, nonprofit management or related field
Skills/Experience:
- 2-3 years volunteer coordination experience and understanding of adult volunteer recruitment and engagement.
- Demonstrated history of community program development.
- Knowledge of strategic planning and budget development.
- Proficiency with Microsoft Office applications, especially Word, Excel and Outlook; Internet proficient; ability to learn volunteer specific software.
- Ability to travel throughout the state of Oklahoma as needed to perform job duties
- Spanish speaking a plus.
