Looking for someone who's intuitive, able to work with ambiguity, take proactive approaches to tasks at hand, problem solve & make decisions.

This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living, and social responsibility. Provide high-level executive administrative support to Senior Level Staff and Volunteer Boards.

Areas of Responsibility: 
  • Initiate, drive & manage administrative duties for Association and Branch Executives assuring they are fully prepared, equip, and on task.Duties include, but not limited to drafting correspondence, documenting meeting minutes, gathering data and preparing meeting agendas, presentations, and reports.
  • Provide specific financial development administrative assistance including, but not limited to:
    • Maintain current data in software utilized for donor and prospective donor information, donation pledges & payments.
    • Receipt, acknowledge and track all donations with special individual attention wherever possible.
    • Ensure all correspondence is cataloged/archived for future reference.
    • Assist with campaign segment mailings including Auction; Baseball Sponsorship; Annual Campaign; Capital Campaign.
    • Assist with stewardship of donors and reporting back impact made through their investment.
  • Provide individualized assistance as requested by CEO, Branch Executive, and Financial Development Director as well as other Association staff from time to time as directed, including but not limited to:
    • Effectively manage appointment calendars, prioritizing requests and proactively handle schedule conflicts.
    • Maintain regular communication regarding upcoming commitments and ensure executives are equipped with necessary information and materials when appropriate.
    • Collect receipts, complete and submit reimbursement reports for business expenses.
  • Coordinate meetings and events (i.e. executive staff meetings, quarterly team off-sites, annual team summits), as assigned. Manage travel arrangements for attendees as needed.
  • Administer mail and package shipping/receiving, and orders for office, medical, and promotional inventory supplies.
  • All records and information obtained by performing the duties of this position must be held strictly confidential exhibiting discretion and good judgment.
Educational Background: 
Bachelor’s degree preferred. Education in business administration and/or minimum of 4 years relevant work experience, required.
Skills/Experience: 
  • Proficient computer skills and the ability to learn and navigate specific software, basic office equipment, and professional written and verbal communication skills. Advanced knowledge in MS Office Suite.
  • Outstanding attention to detail, superior accuracy, and exceptional problem-solving skills.
  • Excellent written and verbal communication skills, including the ability to draft, edit, and proofread presentation materials with precision.
