Context: Reporting to the Managing HR Coordinator, the HR Coordinator is a member of the HR Partner Team responsible for providing excellent client service in all HR functions as well as day to day support for the HR team.
Scope: The Human Resources Coordinator is responsible for a wide variety of HR administrative functions including: creating and maintaining confidential records management systems, administrative/executive support to both HR Deputy Directors, HRIS data entry, New Hire Onboarding support, facilitating job posting and hiring and responding to routine employee questions.
Records Filing and Management (30%)
- Creates and maintains compliance of hard and electronic copies of confidential personnel and benefit files and conducts periodic records audit of hard and electronic copy data such as: I-9 Forms, employee records, handbook receipts and signed job descriptions.
- Processes and tracks benefit invoices for payment such as: health, retirement, 3rd party administrators and consultants.
- Maintains benefit files including: invoicing, contracts/agreements, employee forms in HRIS and hard copy files.
- Organizes and tracks all on-site and off-site Human Resources files for legal compliance and for easy retrieval.
- Creates certain ad-hoc and routine reports and organizational charts upon request.
HRIS Processing and New Hire Onboarding (30%)
- Responsible for timely processing all compensation and job changes including promotions, merit increases, status changes, relocation changes and terminations in HRIS system in coordination with HR Partners, Benefits Administrator and Payroll Department.
- Handles all New Hire HRIS data entry and New Hire administrative follow up communications and procedures.
- Supports hiring process by generating offer letters and securing applicant background and MVR checks.
- Responds to and resolves general employee inquiries and/or reroutes inquiries to appropriate HR contacts
- Sends out weekly email to New Hires and facilitates welcome gift
Administrative Support (20%)
- Coordinates meeting schedules and agendas, travel plans and expense report submissions and other administrative tasks for the Deputy HR Directors as assigned.
- Completes employment verification requests via fax, phone, or email.
- Other ad-hoc duties and projects as assigned.
Miscellaneous Duties as assigned (20%)
- Recruiting and hiring support internally and externally including: providing guidance on recruiting process for hiring managers, post positions on national and external recruitment sites when approved.
- Other ad-hoc duties and projects as assigned.
- Minimum 2 years of HR experience
- Excellent organizational skills, attention to detail and accuracy and the ability to manage multiple priorities and projects
- Prior experience providing administrative and executive support preferred
- Ability to handle confidential and sensitive employment information
- Strong verbal and written communication skills
- Familiarity with Google Suite including Gmail, Google Docs, Google Spreadsheets and Microsoft Office
- Commitment or familiarity with Sierra Club’s mission and equity values a plus!
- Experience with Workday a plus!
- Experience or interest in HR compliance a plus!
The annual salary for this position is $59,500.
