Context: Provides general administrative support for the Our Wild America Campaign, Clean Transportation for All Campaign, and Political Team.
Scope: The Administrative Assistant performs general administrative and coordinating functions for the senior leadership of the Our Wild America Campaign, Clean Transportation for All Campaign, and Political Teams including documentation and record keeping, scheduling, department expenses and meeting logistics, event planning, etc. This position will assist senior leadership of these teams. The person will also work closely with Operations Manager of the Our Wild America Campaign.
- Provides administrative support to senior leadership including coordinating and scheduling meetings, logistics, agendas, documents, travel plans, expense submissions, and other administrative tasks for Senior Director, Our Wild America; Director, Beyond Dirty Fuels; Director, Clean Transportation for All Campaign; and Political Director.
- Takes and shares team meeting notes and prepares follow up steps and reminders to make sure meeting obligations are carried out.
- Works closely with the Operations Manager, Our Wild America Campaign to implement various administrative needs for the Campaigns, such as: reviewing campaign reimbursements and troubleshooting questions; reviewing and processing volunteer reimbursements and travel expenses, providing booking support for volunteers and guests; processing invoice payments with Operations and Finance Departments and managing invoice tracking system.
- Interfaces using tact and discretion with key Sierra Club leaders and staff, chapter staff, volunteers, political leaders, donors, vendors, other organizations and outside entities.
- Assists with department wide problem solving. Identifies problems and helps to ensure they are resolved.
- Helps plan and coordinate special events and meetings.
- Researches and compiles special projects and reports as assigned. May require coordination with senior staff and volunteer leaders throughout the Club.
- Performs miscellaneous duties as directed.
- Good written and verbal communication skills, including excellent spelling, grammar, punctuation and composition skills.
- Strong knowledge of MS PowerPoint, Word and Excel is required. Knowledge of Google platforms preferred.
- Strong organizational skills.
- 1-2 years’ experience in an executive assistant/ administrative assistant position or other relevant position.
- Ability to interact cooperatively with a wide range of constituents.
- Some experience with event planning helpful.
- Commitment to environmental protection and social justice.
- Able to work independently. Initiative to identify areas for improvement and provide suggestions.
- Reliability, loyalty, discretion and good sense of humor.
- Able to travel approximately four to six times a year.

This position requires occasional overtime work around team planning meetings and other events or projects. Although these events are not frequent, overtime of 10-15 hours in a week can occur during such times.
