Under the direction of the Executive Director, the Program Experience Director is responsible for providing Cause-Driven management and operations to the departments of Before and After School Licensed Child Care Programming, Stay and Play, Izone, Family Programming, Arts & Humanities, and two Summer Day Camps. The Program Experience Director also assumes a leadership role in the annual support campaign. Day to day operations include staff supervision, fiscal control, program development, program area facility management/maintenance, marketing, and volunteer management. The Program Experience Director is also responsible for hiring, training and supervising and leading their staff team in superior levels of member service and engagement in accordance with the Association Gold Book Guidelines.
FLSA Status: Full Time Exempt/Salaried (Classification may change to full time non-exempt /hourly to meet D.O.L. regulations)
The Program Experience Director must understand and be willing to learn the necessary skills required for the successful completion of duties including:
Priorities:
- Develop, implement, and grow youth and family programming
- Provide leadership and support for branch management team, annual support campaign, and volunteer committees/boards as assigned
- Ensure high quality programs through innovative program development, evaluations and ongoing training of staff
- Create opportunities for members to form small communities and build meaningful relationships
- Maintain current CPR/AED/O2/First Aid and MAT certification
- YMCA New Staff Orientation and 6 hours of child abuse prevention training.
- Attend mandatory staff meetings and appropriate association Cabinet Teams.
- Follow the Code of Conduct established by the YMCA of South Hampton Roads.
- Knows what activities are appropriate to each age group and plans curriculum accordingly
- Enthusiastic, positive, and motivating to children and peers
- Provide strong fiscal management in all areas of responsibility
- Communicate the YMCA mission and objectives to the community
- Assist and foster a strong annual support campaign
- Provide strong leadership and support for attaining goals and objectives of the Association Strategic Plan
- To assist develop and manage the budgets related to the position
- Hire, train, evaluate and supervise the Day Camp, IZone, Stay & Play, Arts & Humanities, and Before and After school staff
- Work significant nights and weekend hours
- Represent the Family Center on the following Cabinets: Teens, IZone, Stay & Play, Day Camp, Arts & Humanities, School-age Child Care
- Effectively prepare staff schedules, manage and submit employee payroll for assigned areas
- Effectively coordinate staffing for day camp, drop in care, arts, and before and after school; maintaining a staff/child ratio of no less than 1:15; including managing of substitute staff
- Effectively plan and coordinate operation of full day child care including field trips, facility usage and program planning/scheduling
- Assist in maintaining high quality standards adhering to or surpassing state licensing where applicable, and care and maintenance of program facility and equipment
- Develop, cultivate and maintain positive relationships with school administrators, PTA groups, state licensing representatives and other outside agencies
- Effectively coordinate facility usage for assigned programs and activities
- Communicate effectively with all childcare staff, parents, school officials and community.
- Plan, develop, direct and monitor an effective system of communication with program and management staff regarding progress, plans and problems
- Maintain effective communication with supervisor regarding progress, plans and problems
- Assist with Child Care Open Doors applications and renewals and adhere to YMCA standards and policies
- Recruit and train program volunteers
- Ensure upkeep of related facilities and equipment
- Develop, produce and distribute program information necessary to promote assigned programs, in accordance with family center marketing plan
- Expand current Youth Development offerings with high quality programming in accordance with the Association Gold Book guidelines
- Make necessary purchases, inventories and deliveries of all program related supplies in accordance with Association standards
- Participate in successful annual support campaign. Active leadership required in staff giving and membership involvement
- Incorporate the five character values of the YMCA: Caring, Honesty, Respect, Responsibility and Faith and promote the YMCA Mission
- All other duties as assigned
The Program Experience Director will meet the qualifications set forth by the YMCA of South Hampton Roads. Staff shall be of good character and reputation; capable of carrying out assigned responsibilities; capable of accepting training and supervision; and capable of communicating effectively both orally and in writing as applicable to the job responsibility. Minimum qualifications include:
- 48 semesters or 72 quarter hours of college credit of which 12 semesters or 18 quarter hours are in subjects relating to children.
- At least 21 years or older
- 1 to 2 years supervisory experience.
- Must be able to attain CDL (commercial driver’s license) Class B with Passenger Endorsement within 6 months of hire, Air Breaks Preferred
- Flexible Schedule, days, nights and weekends
- Proficient computer skills
PHYSICAL DEMANDS:
- Will be required to walk, stand, kneel, stoop, push, and lift up to 100 pounds.
- While performing duties the employee may occasionally work in the outside weather conditions, and is exposed to wet, cold and /or humid conditions.
- Continuous operations requiring attention to detail and multi-tasking.
- Will be exposed to cleaning supplies.
- Must be able to stand or sit for long periods of time.
- Must be physically able to successfully complete required certifications.
EFFECT ON END RESULT:
- Financial Performance: Meet Summer Camp and DSS revenue expectations and meet staffing compensation expectations.
- Membership Development: At least 2 Family Programs annually, 30% of participants in programming are YMCA Members, and convert 5% of program participants to full YMCA Membership.
- Program Development: 80% Zero-violation licensing visits, 5% enrollment growth in Before & After School, 5% enrollment growth in Camp, seasonal arts & humanities programming.
- Fundraising: Achieve department specific fundraising goal, achieve 100% staff participation in annual giving campaign, and participate in fundraising activities.
- Team Performance: All staff meet or exceed licensing requirements and expectations; staff satisfaction score of 90% or better; and regular opportunities for staff to give feedback.
