The Camp Director is responsible for planning, operating and implementing safe, innovative and high quality programs for all staff, guests and participants. The Camp Chickami Director is responsible for growing camp enrollments and revenue to further the YMCA mission. This role is expected to provide high quality services through courteous, consistent, professional and knowledgeable community relations and to ensure that all aspects of Camp Chickami run seamlessly year-round. The Camp Director position is responsible for carrying out the mission and values of the West Suburban YMCA at Camp Chickami.
Areas of Responsibility:
GENERAL
- Lead all aspects of Camp Chickami operations, working collaboratively and cooperatively with all Departments of the West Suburban YMCA to successfully execute the annual marketing, financial development, human resource and financial goals of Camp and the Association at-large.
- Prepare year-end camp report(s) on personnel, campers, finances, operations, program impact, and facilities—including observations, suggestions, and concerns—as requested by the Executive Team.
FACILITY
- Ensure the good repair and health of all facilities and grounds before, during, and after camp season.
- Schedule and execute the annual opening/closing of Camp with Association Facilities Director.
FINANCIAL
- Develop achievable annual budget for operations and necessary capital budget to achieve short- and long-term goals in collaboration with Association leadership staff.
- Responsible for control of the Camp Chickami budget, including administering payroll, generating monthly variance reports, and working with the Camp Registrar on accounts payable.
- Work within budget to plan programs, purchase required supplies/equipment, and maintain facilities.
ADMINISTRATIVE
- Work closely with the Camp Registrar on the registration process, assisting with phone calls, billing, payment plans, refunds and collections.
- Assist with and lead aspects of year-round communications (welcome packets, recruitment & retention initiatives, marketing, surveys, newsletters, social media, etc.).
- Assist with community outreach efforts and camper recruitment (through camp fairs, home visits, community events/partnerships, social media, etc.) to meet or exceed enrollment targets.
OPERATIONS
- Assist with enrollment reports, providing relevant context and analysis.
- Prepare, review, and present contracts and agreements to the West Suburban YMCA President/CEO for approval and sign-off. (Rentals, vendors, contractors, etc.)
- Lead ACA and Board of Health licensing processes, ensuring all deadlines are met and that established health and safety standards of the ACA, Dept. of Public Health, YMCA, etc. are followed.
- Adapt for Camp use and implement the WSYMCA’s safety and risk management strategies.
- Develop and maintain Camp records essential for control, evaluation and reporting.
- Routinely evaluate the effectiveness of policies, programs, and staff to meet the mission of the YMCA.
- Enact changes to program, structure, administrative procedures, facilities, or policies, which you feel would benefit Camp. Collaborate with Operations leaders as necessary.
DEVELOPMENT
- Lead the Chickami Committee in support of the goals of the Board’s Camp Committee.
- Work to engage alumni, staff and key stakeholders in a collaborative venture to re-examine and re-craft Camp’s strategic plan to realign priorities and projections in accordance with current needs and existing circumstances.
- Build a strong alumni support group through Board initiatives, alumni committee, engagement events, fundraising, and community advocacy. Coordinate and lead at least three Alumni events annually.
- Attend monthly meetings of community groups in Chickami area (Wayland).
- Attract high caliber volunteers and staff through community outreach and by continuing to develop a robust LIT program, creating a pathway for future counselors and staff.
PROGRAM
- Drive off-season revenue and engagement opportunities, including rentals, alumni events, community partnerships, and remote programing. Book, host, staff, schedule, and program events as needed.
- Work with Camp staff to develop camper schedules, program goals, curriculum, lessons plans, etc.
- Arrange for the daily transportation of campers to and from Camp through contracted services.
- Oversee behavior management for campers, in accordance with Association policies and procedures.
STAFF SUPERVISION
- Responsible for Camp personnel including: hiring, training, on-boarding, supervising, evaluating and terminating (if necessary) Camp staff. May delegate some duties.
- Assist Camp Registrar with the timely submission of hire paperwork. May delegate some duties.
- Prepare staff manuals; plan and conduct staff training and orientation.
- Ensure all staff are following and enforcing all rules as well as fulfilling all expectations and their assigned duties. May delegate some duties to key supervisory staff.
- Mentor and evaluate all unit staff—may delegate some duties—assisting them in meeting professional and program goals while fostering a culture of inclusion, high staff morale, and engagement.
Educational Background:
Bachelor’s Degree or equivalent in recreation, education or a related discipline.
Skills/Experience:
- At least 25 years old.
- At least two seasons previous experience working in a summer camp setting.
- Previous experience managing staff.
- Ability to take initiative, be highly organized, effectively communicate, and manage groups.
- Ability to relate effectively and compassionately to diverse groups of people from all social and economic segments of the community.
- Strong programming, planning, implementation and follow through skills.
- Good role model, high integrity and level of professionalism, and adaptable.
- Willingness to go above and beyond your job description.
- Acts proactively to ensure positive outcomes.
- Ability to handle multiple tasks simultaneously. Ability to think and act quickly and safely in emergency situations.
- Certification in CPR and First Aid.
